||OVERALL JOB FUNCTION
This is a singularly challenging position at one of the fastest growing, independent Hispanic ad agency media departments. We are seeking an eager, dynamic individual who can serve to assist in the development of media plans and help steward media buys in our systems. The position features involvement across many facets of the media business and supporting our teams who are actively developing and executing media plans. While the most important part of this individuals responsibilities is analytical in nature, he/she will also be in a position to ideally grow in our company on a developmental basis.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Maintenance of Media Plans and Buys
Track all changes in plans and oversee budget reports on regular basis.
Revise Excel flowcharts as plans and buys change.
Monitors buys, spot checking placement and negotiating credit or billing
Print & file buy orders.
Maintains all media buys and is responsible for the post-buy results of all buys.
Manage all schedule changes/make goods with networks/stations.
Provide details of media deadlines and sizes for print media
Collaborates with clients and media team members to resolve media billing issues
Matching of schedules for delivery and discrepancies; verify all broadcast orders.
Collections from vendors; check invoice and payment status.
Tracks media expenditures to ensure agency and client budget compliance.
Collection of invoices and tear sheets. Match tear sheet to invoice.
Bring together all print invoices on a monthly basis and match through system.
Participate in sales rep media meetings and distribute notes to group as
Traffic update traffic information on regular basis.
Maintain contact list for vendor staff and traffic contacts.
Put together billing documents, ensure codes are correct and on all invoices.
Quarterly allocations, entering all information in worksheet, following up with
vendors for flowchart updates and inputting into systems.
Prepare and update media flowcharts and purchase authorizations as necessary.
Take ownership over client reporting responsibilities across resources.
Create and update budget summary reports and other databases on assigned
Develop competitive analyses and spreadsheets as needed.
4 year college degree required
Strong analytical skills, especially with Microsoft Excel. Microsoft Word and
PowerPoint skills also required.
Good oral and written English language skills are essential.
Strong organizational and multi-tasking skills.
Experience developing spreadsheets, managing large amounts of data and digital
Some media buying/planning experience is ideal, however, entry level will be
considered for the right candidate.
Knowledge of media planning tools and resources is preferred but not required.
Outstanding attention to detail combined with an ability to see the big picture.
