Job Requirements Communications Coordinator

The Foundation is looking for a bright, sophisticated generalist to assist the Communications Director with all the varied tasks in that department. The individual in this role will assist with the work outlined below, utilizing strengths and experience in administrative support, communication, research and editing.

• Bachelor’s degree plus 2-5 years of work experience.
• Excellent oral and written communication skills, with experience in editing and proofreading documents.
• Able to work well with and adapt to diverse personalities and communication styles.
• Strong attention to detail and ability to proactively anticipate needs.
• Ability to manage multiple task/priorities.
• Advanced computer skills including: Microsoft Office applications (Word and Excel), internet search capabilities, and a good command of graphic and photo file types.
• Ability to maintain confidentiality.
• Background or experience in science, math, writing or public relations is a plus.

• Manage communications department deadlines.
• Prepare business expense reports.
• Review vendor invoices for accuracy, supply relevant finance codes and submit to Communications Director for authorization
• Research new contacts for press releases and for request for application notifications. Maintain listing of current contacts.
• Monitor Google, Twitter, Meltwater feeds for mentions of Foundation and its programs. Send relevant social media posts.
• Respond to ‘blind’ emails sent to the Foundation generally.
• Assist with the development of media reports for the Board and foundation leadership.
• Help maintain a portion of the Foundation’s website.
• Manage and coordinate logistics for ‘trade booths’ at scientific meetings and conferences (i.e. purchasing insurance, coordinating space details and layout, ordering and shipping trade show materials, equipment rental and planning, etc.)
• Coordinate advertising activities including organizing text, copyediting, tracking and meeting ad deadlines, and developing art.
• Write and maintain staff bios for website, coordinating photographers and staff when needed.
• Provide support to the Communications Director for Annual Report and Foundation News. Maintain annual report mailing list and help prepare reports for mailings.
• Provide general administrative duties such as limited calendar management, travel arrangement, copying, filing, and managing/routing incoming mail.
