Job Requirements The Operations Manager is the manager of all company administration, financial concerns, company policy, and human resources. Working closely with the Managing Director, s/he will play an integral role in the supervision of the day-to-day operations of the companyís administrative offices.

We are seeking an individual with accounting and operations experience. The ideal candidate will have a proven track record of success in a creative field and/or agency environment.

Key Responsibilities include:


  1. Manage the direct report of a Bookkeeper

  2. Liaison with company accountants

  3. Weekly Report analysis (Cash Report, Payables and Receivables, and P and L)

  4. Hold quarterly budget close-out meetings with the Managing Director and prepare reconciliation between Managing Director's reports and Quickbooks

  5. Creation of all employee Bonus/Compensation projections, studies, and executions

  6. Ensure that all project budgets are comprehensive and accurately entered into Quickbooks

  7. Check request and vendor bill approval

  8. Review Credit card allocations prepared by Bookkeeper

Human Resources and Company Policy

  1. Administer employee new hire process, to include: executing offer letters and managing all associated new hire paperwork

  2. Administer employee termination process, to include: executing termination statement, conducting exit interview, and reviewing termination check-list

  3. Maintain all employee HR files

  4. Maintain the Employee Manual and policy changes

  5. Track all Leave Requests

  6. Handle all aspects of employee work visa applications and/or extensions

  7. Oversee the Simple IRA plan, which is maintained by Bookkeeper and correspond with Investment Advisor as needed

  8. Work with the Managing Director to establish employee and departmental performance metrics and systems for monitoring performance against goals

  9. Spearhead annual performance reviews and salary reviews as well as projections for budgeting purposes

  10. Plan and spearhead all team building and morale initiatives

Facilities and Office Management

  1. Manage the direct report of David Starkís Executive Assistant

  2. Work with Studio Director to oversee all facilities issues in two studio locations

  3. Set-up and maintain: phone system, computer workstations, email accounts, and credit card accounts

  4. Liaison with all service providers

  5. Purchase all new equipment and service contracts

  6. Work with the Studio Director to keep the studio and office organized and clean

  7. Update company templates when needed

  8. Provide phone coverage for the main line

Experience and Qualifications:

  1. A strategic thinker with the ability to focus on daily details and operational issues

  2. A minimum of 5 years of experience in financial management

  3. Direct experience building and managing teams comprised of both creative and business employees, in addition to exempt and non-exempt personnel

  4. Strong interpersonal and communication skills

  5. Excellent computer skills and proficient in excel, word, outlook, and quickbooks

  6. Excellent people manager who is open to direction and comfortable working in a collaborative environment

  7. A commitment to get the job done is a must

  8. A Bachelorís Degree is required
