Job Requirements Reporting to the Vice President of Marketing this junior marketing position provides both marketing management and administrative support for the Marketing Department of ALM. This role is ideal for a computer savvy professional with strong organizational skills, digital aptitude and a strong interest in marketing. While standard administrative functions like scheduling, answering the phone, financial record keeping, obtaining supplies, and troubleshooting are a part of this job, a larger part of this job involves the independent management of a variety of marketing projects.

The ideal person for this role will be a self starter with strong written and oral communications skills. Professional maturity and the ability to manage highly confidential and sensitive information is required. Candidates must be team oriented and be able to work with diverse groups of people. Independent judgment is required to plan, prioritize, and organize workload and manage priorities in a fast-paced environment. The ability to identify process or product improvements and impact change are a plus.

RESPONSIBILITIES:
Marketing:

* Independent Execution of Marketing Programs- Ability to independently manage certain tactical areas of a marketing plan including, the creation and management of insertion orders, development of creative brief, and execution of marketing programs on an ad hoc basis.
* Project Management for Creative Group work with creative group on corporate marketing projects: involvement in brainstorming and job trafficking to ensure quality work and timely delivery.
* Invoice Management using online invoice management tool (Altec) to code and track all corporate marketing invoices.
* Website Auditing & Updating/Online CMS Support Responsible for auditing and maintaining several corporate websites (including alm.com, CEOs blog, company intranet, etc.), working with internal clients to support online products and needs through a range of content management systems. Maintenance includes, HTML markup, developing and posting marketing copy, Wordpress CMS management, site troubleshooting, and website metric retrieval and analysis.
* Email Campaign Management- Responsible for sending emails in email platform, Adestra. Knowledge of uploading lists, managing opt-puts and pulling email metrics.
* Market Research Support Assist with Market research including email survey recruitment, the development of electronic surveys through tools such as Survey Monkey, managing survey premium fulfillment including obtaining signed releases from research participants before the distribution of premiums and coordinating other research logistics.
* Relationship Manager- Primary point of contact for charity relationship ensuring all elements of contract are fulfilled. This includes managing the creation of brochures, print ads, web ads and coordinating insertion orders with ALM publications.

Administrative:

Provides administrative support to the Vice President of Marketing and the Marketing Department.
1. Schedules and organizes meetings, travel, and conferences
2. Performs desktop publishing. Creating and developing visual presentations for the Vice President.
3. Establishes, develops, maintains and updates electronic and hard copy filing systems for the Vice President and the department. Establishes, develops, maintains and updates library of trade journals and magazines.
4. Organizes and prioritizes information and calls.
Sorts and distributes mail for the Vice President. Drafts written responses or replies by phone or e-mail when necessary.
Answers phones for Vice President. Takes messages or fields/answers all questions.
5. Act as a liaison with other departments and outside agencies. Handles confidential and non-routine information and explains policies when necessary.
6. Works independently and within a team on special nonrecurring and ongoing projects. Assistant manages special projects, at the request of the vice president, which may include: planning and coordinating multiple presentations, disseminating information, coordinating direct mailings, creating brochures.
8. Creates and edits general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes.
9. Supports Budget Analyst in maintenance of the department finances. Activities include: maintaining department budget, copying check requests & sending to Accounts Payable Travel reimbursement, documenting corporate credit card expenses to corporate finance.
10. Responsible for ordering department supplies and subscriptions and ensuring Marketing department has all necessary supplies to do the job.
11. Responsible for keeping VP Marketing contact database complete and accurate.

REQUIREMENTS
Must have strong written communication skills. Ability to proof read for spelling, grammar, accuracy and clarity of final copy.
Knowledge of HTML and/or content management systems is a plus.
Must have knowledge of office administrative procedures, and knowledge of use and operation of standard office equipment, at a level generally acquired through 2+ years related experience.
Demonstrated interest in marketing.
Track record in learning other task specific software is a plus. E.g. Survey Monkey, Email platforms, Access, etc.
Must be proficient in Microsoft Word, Excel, Outlook, and PowerPoint.
Demonstrated interest in social media platforms like Facebook, Twitter, etc. a plus.
Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy and ability to communicate effectively with senior management all other staff.
Must be comfortable with numbers.
Attention to detail is a must. Work requires continual attention to detail in establishing priorities and meeting deadlines.
Positive, can-do attitude combined with flexibility is a winning combination for this role.
