The Ideal Candidate must be an enthusiastic self-starter who works well without supervision and collaboratively, and can take/follow direction. She or he must also know Mac computers and software inside out, have excellent writing and speaking skills, and able to lift boxes that may weigh upwards of 40 pounds and get them ready to be mailed.

• College degree or experience in lieu of degree. Journalism, public relations, marketing, communications, or other related field preferred.
• An interest in pursuing a career in social justice publishing.
• Proficient in Word, Excel, and PowerPoint, InDesign, and social media.
• Experience with Photoshop, HTML, CMS, Google Analytics and other digital tools a plus
• Able and willing to learn new applications.

Responsibilities
• Office tasks: Keep the office clean and organized, answer phones and manage phone system, file, order supplies, process mail, copy/scan/fax, copier and computer maintenance and troubleshooting, schedule meetings and manage calendar.
• Grant management: maintain tracking/filing system for all steps of the grant proposal process including due dates, reporting deadlines, proposal files, reports on fundraising status, etc. Help with finding grant opportunities, including researching and compiling grant packages.
• Assist with external communications, such as posting calendar listings for events, tracking traditional and social media exposure, preparing press releases and helping with the creation of marketing materials.
• Help with the creation and distribution of e-marketing campaigns, which might involve proofreading, writing, scheduling, and dealing with outside vendors, as well as investigating new opportunities.
• Help with the creation of a weekly report on social media and website activity.
• Manage the logistics for board and staff meetings, including taking notes, making copies, setting up meeting room, ordering refreshments, arranging meeting times.
• Assist with drafting board and other reports.
• Schedule, coordinate and arrange travel and hotel accommodations
• Enter and update information in our various databases; experience with Salesforce a plus
• Process incoming checks and assist with invoicing; assist with annual audit.
• Assist other staff in day-to-day activities
• Other projects as necessary
• Evening, early morning and weekend work time will be occasionally required for events and other activities.
About Our Company NHI/Shelterforce is looking for an administrative and communications assistant. In addition to general office administrative activities (phones, office organization and maintenance, etc.), the assistant will also be responsible for managing the distribution of magazines and reports, maintaining the computer equipment, invoicing and banking, keeping tabs on circulation, managing board activities and logistics for meetings (in office and outside), and other tasks as needed to keep things humming.

The assistant will also have the opportunity to participate in editorial planning meetings, work on the magazine (provide input on design, help with proofreading, search for art and photographs), and help with editorial reports, conferences, our website, outside communication, and other activities.
