Job Requirements Responsible for developing integrated and effective operational processes, tools and touch points for the facilitation and production of creative projects. Act as key liaison between the “creative teams” and “client teams”, and ensure projects meet deadlines and creative resources are being allocated in the best way for the company as a whole.

Process responsibilities:
• Collaborate with all partner teams to develop effective ways to work.
• Develop, implement, communicate, mentor and train creative team on time tracking, scheduling strategies and tiered workflow processes.
• Communicate opportunities within workflow processes and recommended solutions to creative and client team leaders.
• Organize and create a master Inter-Departmental Creative Calendar. Serve as key communicator on due dates, changes and adjustments as things come up.
• Facilitate on-going discussions with cross-functional partners to improve management of project deliverables and hand-offs between teams.
• Facilitate seasonal planning sessions to map out assets and deliverables between departments. This will serve as a framework to build on as the season unfolds and new projects come in, and will be the foundation of an inter-departmental creative calendar.
• Review incoming requests regularly and create a recommendation summary (i.e., # of hours, cost, scheduling, when the creative can be delivered, etc.) to share with partner leaders as needed to weigh priorities, scheduling and budgets. Communicate with client team about how, when and if a request can be delivered. Navigate the path with each client partner, notifying them around changes to any process, timelines, due dates, etc.
• Develop a “Project Brief” to be utilized by all teams for any creative request. This will serve as a creative brief for the teams to work from.
• Serve as a thinking partner between teams to maximize impact of separate projects, (for example, seasonal planner, special shoots for retail and the web, special videos, etc.).
• Establish time-tracking system and collect time-tracking data for at least 6 months to enable resource forecasting.

Key Partners:
• Serve as key partner to VP of Communications, External Communications Directors and external creative agency (Bone & Black) to orchestrate creative resources and prioritize projects.
• Serve as key partner to producers, production managers and team calendar managers on the advertising, marketing, web, graphics and visual teams.
• Mediate communication issues between different teams and project managers.
• Manage meeting agendas for weekly package review and leadership meetings.
• Serve as a key partner in budget-planning for creative and client teams.
• Distribute final deliverables to appropriate teams and individuals.

Technology Management Responsibilities:
• Teach and support creative team to file archiving, systems, etc.
• Collaborate with the IT team to develop functional requirements for new technologies that support the creative team (i.e., workflow project management systems, digital asset management/DAM, dynamic collateral creation/DCC)
• Maintain understanding of all aspects of brand standards, design and production process.
