The Public Affairs and Marketing Specialist is a member of the F|S Public Affairs and Marketing (PAM) team, reporting to the Head of Public Affairs and Marketing, and performs a range of media, public relations and marketing functions to broaden awareness, encourage online and physical visitation and gain public support for the museums' mission and programs.

In addition to general public affairs duties, this position specifically supports departmental functions related to advertising coordination, media buying marketing, ROI and performance measurement, visitor experience, and intern and volunteer support.

The incumbent is periodically required to work evenings and on weekends.

MAJOR DUTIES
With the PAM team, the incumbent:

Advertising Strategy, Media Buying and Budgeting
-Coordinates strategic advertising plans for all major marketing campaigns and place media buys that align with stated marketing goals.
-Researches, and when appropriate, utilizes new approaches for cost-effective advertising.
-Serves as primary contact with vendors for advertising. Negotiates with vendors to secure cost-effective contracts.
-Works with Curatorial and Design Departments to develop effective advertising messages consistent with marketing and branding goals.
-Monitors deadlines; ensures that projects are completed within established budgets and production deadlines.
-Coordinates with outside sponsors and other departments on advertising placement and marketing plans.
-Tracks advertising budgets and payments, in conjunction with External Affairs’ finance manager and Finance departments.

Marketing
-Creates and executes exhibition marketing plans, when assigned.
-Assists with social media platforms and works with the team and larger museum staff to create social media campaigns for exhibitions, scholarly programs and events,;assigns social media tasks to other team members.
-Creates and oversees email marketing and e-newsletter communications.

Performance Reporting
-Researches and implements best practices for measuring return on investment.
-Tracks metrics for and evaluates marketing campaigns with the goal of maximizing ROI.
-Develops and manages summary reports to provide information, monitor performance, and create benchmarks that will support strategic decision making for ongoing and future marketing efforts.
-Creates and maintains methods of measuring advertising value and efficacy.
-Reports visitor and website attendance and other relevant PAM statistics on a monthly basis.
-Creates quarterly longitudinal reports on attendance, website visitation, and social media growth for the board of directors.

Visitor Experience
-With the Head of Public Affairs and Marketing, the incumbent is responsible for all PAM duties related to front desk, way finding, visitor experience, and customer service.

Public and Media Relations
-Assists with communications to media and other stakeholders when assigned; creates press releases and media advisories.
-Assists in managing information and image requests from media; works with reporters who seek information, contacts with stories.
-Assists in museum-wide events and other public programming.
-Assists in the execution of press previews, press tours, and filming and photography.
-Responds to public inquiries via phone, email and in person.

Intern and Volunteer Support
-Provides support to interns and volunteers, including orientation and set up.
-Shepherds PAM intern recruitment, interviewing, and follow up.
-Manages intern tasks and workloads.

Qualifications
-3-5 years of experience in public relations, advertising, or media relations; or Master’s degree in related field
-Museum, arts, or non-profit background preferred
-Demonstrated experience in planning and executing successful strategic marketing and media campaigns
-Knowledge of and experience with advertising theory, plans, and purchasing
-Excellent communication skills, both written and spoken
-Capacity to work independently and collaboratively to ensure deadlines are met
-Ability to multi-task and work under tight deadlines with extreme attention to detail
-Willingness to take initiative to complete assignments and take on new projects where there may be need
-Ability to work collaboratively, tactfully and productively with a wide variety of colleagues and public

Preferred Skills
-Expert ability in Microsoft Office programs, including Excel, Word, PowerPoint
-Ability to recruit, coordinate, and oversee the work of a team of interns and volunteers
-Knowledge of standard administrative and office practices and procedures, including skills in organizing and maintaining files and archival materials, organizing and assembling materials for mailings, preparing correspondence and materials to assure correct spelling, grammar, and punctuation
-Experience using Blackbaud, Constant Contact, media tracking databases like Meltwater or TV Eyes, and Sharepoint
-Experience with social media platforms, including Twitter, Facebook, Instagram, and Pinterest, as well as management tool Hootsuite.
