Front Desk Associate - Studio City, CA ( Part-Time)
Role Title: Front Desk Associate - Part-Time
Schedule: Part-Time / Monday through Friday from 8:00 AM to 1:00 PM, with Saturdays as needed from 7:30 AM to 4:00 PM.
Compensation: $22 - $24/hr.
Manager: Clinic Manager
Role Summary: Ensures hospitable patient member experience at the Tia Clinic, and in collaboration with the care team and Clinic Manager, maintains efficient patient operations. Actively participates in reporting feedback/suggestions related to patient care, and clinic or front of house process to supervisory staff.
Responsibilities
- Hospitality: Be compassionate and utilize interpersonal communication to execute a hospitable and seamless patient experience
- Greet and direct all patients, or other related individuals to appropriate locations while maintaining excellent customer service at all times
- Maintain lines of communication amongst care team members to ensure back and front of house operations are aligned with patient/care team needs
- Educate patients when visiting the clinic on Tia Services (workshops, acupuncture, community events, retail products, pricing, etc.)
- Educate patients on scheduling and availability, and liaise with care coordinators to book appointments as needed
- Assist care coordinators in the booking process and scheduling inbound patients based on assignment
- Spearhead administrative duties including scanning and uploading patient information, electronic filing of documents, clinic operations documentation (Wellness Credits, billing issues, inventory, mail), and accuracy in DrChrono appointment check-in/out flows
- Set up and maintain facility cleanliness and ensure communal areas are stocked and maintained; escalate maintenance issues as needed
- Undertake ad-hoc projects to support clinic operations (research, product sourcing, process documentation, trainings, and other cross-functional tasks)
Member Engagement
- Compassionately embody the voice of Tia for prospective and existing members and provide excellent client service orientation
- Educate patients about Tia services (workshops, acupuncture, community events, retail products, pricing, etc.)
Qualifications
- Proficiency in core MS/Google Suite
- Tech-savvy with a willingness to learn new technologies and frameworks
- Excellent verbal and written communication
- Strong adherence to process; highly organized with keen attention to detail
- Self-motivated; able to work in a fast-paced environment
- Ability to navigate ambiguity and collaborate cross-functionally
- Enthusiastic, energetic, and friendly disposition; able to maintain composure under stress

- You are available 20-29 hours/week including Saturdays
