Job Summary

Cleveland Institute of Music seeks its first full-time Ensembles Librarian, who will oversee all aspects of music preparation and distribution for all large ensembles., and occasionally assist with chamber ensemble needs. At CIM, large ensembles include orchestras, chamber orchestra, new music ensembles, opera theater, and more. Additionally, selected ensembles participate in recording projects, run-out performances, and other special events.

Primary Duties and Responsibilities

  • Working with the library budget, arranging for the purchase, rental, or borrowing of materials to meet program needs for large ensemble rehearsals and performances.
  • Working closely with CIM Orchestra Principal Conductor, Ensemble Leaders, and Orchestra Manager to schedule the shipping of material and coordinate with other organizations to procure bowings or materials.
  • Manage Grad Assistantship student for daily needs, orchestra attendance, and onsite material distribution and collection.
  • Assigning Editing, proofreading, marking parts, and assembling music in folders to work study students.
  • Ensuring the preparation and copying of bowings, including working with string faculty to train and supervise assigned student principals.
  • Ordering, cataloguing, and filing music purchased for the library, maintaining accurate inventory, and assessing long-range acquisition needs.
  • Securing necessary grand rights, small rights, mechanical licenses, and permissions for performances, web-streaming, broadcasts, and recordings.
  • Work closely with the Business Office regarding invoices, payments, shipping, and tracking for performance materials.
  • Supporting the Artistic Operations team including:
  1. Providing program information, instrumentation requirements, and other information to staff on request.
  2. Assisting with special projects including recording sessions, off-campus showcase performances, and extra-curricular and summer productions, as needed.
  • Performs other related tasks as requested. 

Education, Experience and Qualifications

  • Bachelor’s degree in music; preferably in performance.
  • At least three years’ experience working in an ensemble library, including in a student role.
  • Knowledge of computer notation software; Finale or Sibelius preferred.

Working Conditions/Physical Requirements

Availability to attend some ensemble performances is expected. Position may require physical dexterity for moving, standing, or walking for significant periods of time and lifting up to 50 pounds.
