At Helton Law Firm, we believe the client experience starts the moment we pick up the phone. Thats why were looking for a Client Intake & Communications Specialist a poised, professional, and people-savvy individual, who will serve as the first point of contact for our clients and community.

This is not just a receptionist role its one of the most important positions in our firm. Youll be the voice of Helton Law Firm, setting the tone for client relationships and serving as the gatekeeper who ensures our attorneys and staff are accessible to the right people at the right time.

What Youll Do:

  • Answer and respond to incoming calls, emails, and online inquiries with warmth, clarity and professionalism.
  • Conduct initial client intake interviews to gather key information regarding the callers legal needs and goals.
  • Protect attorney and paralegal time by filtering inappropriate, unqualified, or misdirected calls.
  • Maintain accurate records and relay detailed, timely messages to the appropriate team members.
  • Schedule consultations and meetings using our internal systems.
  • Provide clear, compassionate, and professional communication to potential and existing clients, setting appropriate expectations.
  • Maintain confidentiality and adhere to all ethical and legal standards in handling client information.
  • Collaborate with attorneys, paralegals, and administrative staff to ensure a seamless client experience.
  • Help ensure that every caller feels heard, respected, and in good hands even when youre unable to give them what they want.

What Were Looking For:

  • A professional, polished phone presence warm, articulate and confident.
  • Excellent listening and communication skills (tone matters here!).
  • Ability to handle sensitive and confidential information with discretion.
  • Grace under pressure ability to handle urgent, emotional or insistent callers calmly.
  • Proficiency in Microsoft Office.
  • Exceptional organizational skills and attention to detail.
  • Ability to multitask and prioritize tasks in a fast-paced environment without dropping details.
  • Prior experience in a law firm, customer service, or phone-heavy role.
  • Familiarity with Clio and Ring Central.
  • Customer service or front desk leadership background.
