The Sports Marketing Administrator plays a critical support role within arena North America, serving as the operational bridge between the Customer Service and Sports Marketing teams. This position is responsible for the full-cycle coordination of swim team-related orders, sample inventory, and customized product initiatives. The ideal candidate brings a customer-first mindset, strong organizational skills, and keen attention to detail.
Responsibilities
- Order Fulfillment (VIK): Process incoming team-related orders accurately and efficiently, track order progress, and provide updates & delivery information.
- Sample Program Management: Coordinate the ordering, tracking, and inventory of product samples used for team fittings & marketing presentations.
- Product Knowledge & Pricing Support: Maintain up-to-date knowledge of arenas product lines, key features, and pricing structures to support internal team reps.
- Cross-Functional Communication: Collaborate with the Team & Sports Marketing Manager, internal team reps, and Customer Service colleagues to ensure cohesive communication and a consistent customer experience.
- Product Customization Coordination: Manage and track customized products, maintain accurate records, and ensure on-time execution in collaboration with internal and external partners.
- Administrative Support: Provide additional assistance to the Customer Service team during peak periods or as assigned by the Customer Service Manager.
- Process Management & Optimization: Take full ownership of assigned responsibilities, with an emphasis on creating and maintaining standard operating procedures (SOPs), identifying process improvements, and implementing efficient workflows that support team and departmental goals.
Required Qualifications:
- 13 years of experience in customer service, marketing coordination, and/or
- administrative support
- High attention to detail with excellent data entry and organizational skills
- Experience or interest in competitive swimming/swimwear a plus
- Strong written and verbal communication abilities
- Ability to prioritize tasks and manage multiple deadlines
- Adaptable and responsive to time-sensitive or urgent requests
- Demonstrated problem-solving and critical thinking capabilities
- Strong MS Office applications skills with moderate Excel skills
