This position is responsible for managing the day-to-day administrative functions of the marketing department, coordinating marketing activities, and ensuring the smooth operation of all marketing initiatives. The ideal candidate will have a strong background in administrative support, excellent organizational skills, and a good understanding of marketing principles. They will be a key player in ensuring that marketing campaigns and projects are executed efficiently and effectively, contributing to the overall success of the organization's marketing efforts.WHAT YOU WILL BE DOINGESSENTIAL JOB FUNCTIONS:Responsibilities include, but are not limited to:Coordinate Marketing Activities: Assist in planning and executing marketing campaigns and events, ensuring all logistics are in place.Maintain the marketing calendar, tracking deadlines, project milestones, and key deliverables.Liaise with vendors, contractors, and other external partners to coordinate marketing activities.Provide support for digital marketing initiatives, including social media, email marketing, and content management.Organize and distribute marketing materials, ensuring all resources are up-to-date and accessible to the team.Administrative Support: Manage the day-to-day administrative functions of the marketing department, including scheduling meetings, preparing agendas, and taking minutes.Handle all marketing-related inquiries and correspondence, responding promptly and professionally.Maintain and organize marketing files, databases, and records, ensuring all information is current and easily retrievable.Process invoices, track expenses, and assist in budget management for marketing projects.Support the preparation of marketing reports and presentations, compiling data and insights as required.Team Coordination & Communication: Serve as the primary point of contact for the marketing team, ensuring smooth communication and coordination across departments.Facilitate collaboration among team members, ensuring that all are aligned on project goals and timelines.Manage the marketing team's internal communications, including updates on ongoing projects and upcoming initiatives.Coordinate with other departments to align marketing activities with organizational goals and objectives.Support Creative & Content Development: Assist in the creation and editing of marketing materials, including brochures, flyers, and digital content.Coordinate the review and approval process for marketing collateral, ensuring all materials meet brand guidelines.Support content creation efforts by providing research, sourcing images, and assisting with copywriting as needed.WHAT YOU WILL NEEDEDUCATION/EXPERTISE: High School Diploma or equivalent required; Bachelor's degree in Marketing, Business Administration, Communications, or a related field, desired.Minimum of 2-4 years of experience in a marketing or administrative support role, preferably within a non-profit or mission-driven organization.Proficiency in Microsoft Office Suite, project management tools, and familiarity with marketing software such as CRM systems and email marketing platforms.JOB REQUIREMENTS/SKILLS/ETC: Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools (e.g., Trello, Asana).Familiarity with marketing software and tools, such as email marketing platforms (e.g., Mailchimp), CRM systems, and social media management tools.Basic understanding of digital marketing principles, including SEO, PPC, and content management.Strong organizational and time management skills, with the ability to handle multiple tasks and projects simultaneously.Excellent written and verbal communication skills, with attention to detail and accuracy.Personal Skills: Strong interpersonal skills, with the ability to work effectively with diverse teams and external partners.A proactive and adaptable approach, with the ability to respond to changing priorities and needs.High level of initiative, with a focus on problem-solving and continuous improvement.Ability to work independently and as part of a team, with a strong commitment to meeting deadlines and achieving results.A positive attitude, with a passion for marketing and a commitment to supporting the mission of Human Appeal USA.PHYSICAL REQUIREMENTS: Visual acuity to use a keyboard and view a computer terminal.
