General Nature of the Position
The VEA is seeking qualified applicants for the position of
Program Assistant
in the
Department of Communications and Public Affairs.
This position supports the work of the Director and professional staff within the Communications department. The role combines administrative support, content creation, editorial assistance, and member services to advance the VEA's communication objectives. Key responsibilities include supporting publication production, providing editorial assistance, updating the website, monitoring general email inquiries, and delivering comprehensive administrative support. A strong commitment to equity and inclusion is essential, as the Program Assistant helps ensure VEA communications reflect and support the diverse voices of our members and communities.
This position requires occasional attendance at evening and/or weekend functions that may occur within or outside the Richmond area.
Minimum Qualifications: Minimum high school diploma; some college or specialized training preferred Proficiency in Microsoft Office Suite (Word, Excel, Publisher, PowerPoint) Systems Knowledge: Experience with membership processing systems, website content management systems, and basic database management Communication Skills: Strong written and verbal communication abilities with attention to detail including awareness of inclusive and respectful language Editorial Skills: Basic copyediting, proofreading, and content formatting capabilities Equipment Proficiency: Scanning, copying, and general office equipment operation Demonstrated interest in supporting equity and social justice in public education through communications work Demonstrated interest in supporting union values Core Job Functions
Assist Communications Specialist in preparation and production of the Virginia Journal of Education Coordinate advertising placement and vendor communications for publications Provide editorial assistance including document drafting, proofreading, copyediting, and fact-checking Format and edit documents for consistency and clarity Review content for grammar, style, and adherence to VEA brand guidelines Assist with content research and verification Support manuscript preparation and submission processes Post current news, images, and requested information or changes to the VEA website Monitor all email traffic to the primary VEA Contact Email address Answer and/or route emails to appropriate individuals for follow-up Maintain and update digital content across various platforms, ensuring accessibility for diverse audiences Answer telephone calls coming through main switchboard as scheduled Schedule and support meetings using Find Time, MS Teams, and Zoom Create forms for VEA activities, as requested by the Director of Communications Handle day-to-day mail and frequent telephone calls for Communications Specialist Process and respond to requests from staff and members in a respectful and equitable manner Maintain inventory and ensure delivery of VEA brand items Order business cards and promotional materials Assist with NEA Member Benefits requests and maintain related files Update address changes in the IMS system and generate reports as requested Assist Graphic Artist end-to-end projects, including proofing, inventory management, and vendor confirmations Maintain vendor invoice records for major products Provide logistical, registration and communications support during conferences, committees, and lobby day activities Support VEA Communications Committee initiatives Perform duties assigned by the Communications Director and Communication professional staff members Coordinate with other departments for effective program implementation Support cross-departmental communication initiatives that highlight diverse member experiences Assist with special projects as assigned Maintain high standards in all editorial and administrative tasks Meet deadlines for publications, communications, and member services Member Service: Provide responsive and professional support to VEA members Ensure clear, consistent messaging across all platforms with attention to inclusion and accessibility Work effectively with internal teams and external vendors Stay current with communications tools and union advocacy practices approaches that strengthen equity and inclusion in communications
Salary and Fringe Benefits
This position is covered by the Virginia Associate Staff (VASO) Collective Bargaining Agreement. The hiring range is $36,903-$52,523. Starting salary is negotiable within this range, depending upon experience. The position includes a rich fringe benefits package, including 95% of employer-paid medical insurance, 100% covered employee-level dental and vision and 100% employer-funded Health Reimbursement Arrangement account for medical and wellness expenses.
