Position Summary:
The Marketing & Admissions Coordinator at Emerald Oaks Assisted Living is responsible for
promoting the facility within the community, building strong referral relationships, and
coordinating the entire admissions process from inquiry to move-in. This role plays a critical part
in maintaining occupancy, representing the facility with professionalism, and ensuring
prospective residents and families feel supported and confident throughout their transition to
assisted living.
Essential Duties & Responsibilities: Marketing & Outreach: •Build and maintain relationships with local hospitals, physicians, skilled nursing facilities, home health agencies, hospice providers, senior centers, and other referral sources. •Conduct in-person visits, phone outreach, and participate in networking events to generate leads and referrals. •Plan, organize, and participate in community events, health fairs, and educational seminars to promote Emerald Oaks Assisted Living. •Develop and maintain marketing materials, oversee social media presence, and manage online listings to increase visibility. •Track marketing activities, referrals, and conversion rates; provide regular reports to the Administrator. •Provide compelling tours to prospective residents and families, showcasing the facility's services, amenities, and culture to convert inquiries into move-ins.
Admissions: •Respond promptly to all inquiries by phone, email, and in-person, ensuring professional and compassionate communication. •Screen potential residents to ensure they meet the facility's licensure and admission criteria. •Conduct pre-admission assessments on prospective residents, including traveling to their current location (e.g., private home, skilled nursing facility, or other assisted living). •Determine the resident's care level based on assessment findings and ensure they are appropriate for the facility. •Communicate findings with the Business Office so an invoice can be prepared prior to the admission date. •Coordinate pre-admission assessments with the care team when appropriate. •Assist residents and families with completing admission paperwork; accurately enter all required information into the electronic health record system. •Conduct thorough admission orientations with new residents and families, reviewing all policies, procedures, and services. •Collaborate with the Administrator and care team to ensure a seamless transition for new residents.
Collaboration & Compliance: •Maintain current knowledge of state and Title 22 regulations regarding assisted living admissions. •Ensure all marketing and admissions activities comply with state and federal regulations. •Collaborate with the Administrator to develop and implement monthly marketing strategies to meet occupancy goals. •Protect resident privacy and maintain strict compliance with HIPAA regulations.
Additional Responsibilities: •Maintain an organized and accurate lead and referral database. •Participate in monthly occupancy and marketing meetings. •Provide exceptional customer service to all residents, families, and referral partners. •Assist with internal events and resident retention activities that enhance resident satisfaction and community reputation. •Perform additional duties as assigned by the Administrator.
Qualifications: •High school diploma or equivalent (Associate's or Bachelor's degree in marketing, communications, or related field preferred). •1-2 years' experience in senior care, assisted living, or healthcare marketing/admissions (preferred). •Excellent interpersonal and communication skills; ability to build professional relationships with residents, families, and healthcare professionals. •Knowledge of assisted living admission criteria and Title 22 regulations. •Proficiency in Microsoft Office and electronic health record (EHR) systems. •Self-motivated, organized, and goal-oriented with the ability to work independently. •Must pass a DOJ/FBI background check and meet all health screening requirements.
