OVERVIEW: This position is directly responsible to the Service Extension Director and assists in the total operation and function of Service Extension Department. This position is responsible for assigned accounting tasks on behalf of the Service Extension Department. This position is also responsible to write and submit grant proposals and grant reports on behalf of the Service Extension Department.DUTIES AND RESPONSIBILITIES:Administrative Duties: Input into the finance programs; AP Workflow and kettle programReceive and review deposit information from units and resubmit to the finance departmentEnter data for various ledgers, journals, revenue deposits, etc.Maintain computerized A/P. A/R and checkbook modules to review and process invoices, statements, check requests, and expense reimbursements for paymentReview various transactions for accuracy, proper codingCode and/or review revenue and expense coding on vouchers, invoices, and petty cash chargesMaintain up-to-date vendor/ unit filesProvide technical assistance in monthly, quarterly, and annual G/L closingsProvide assistance with external and internal auditsGrant Writing Duties: Review literature funds available through grants from governmental agencies and private foundationsDiscuss program requirements and sources of funds availableConfers regularly with personnel affected by the proposed program to develop program goals and objectives, outline how funds are to be used, and explain procedures necessary to obtain fundingWrite and submit grant applicationsMeet with representatives of funding sourceSubmit proposals to officials for approvalDirect and coordinate evaluation and monitoring of grant-funded programs and write specifications for evaluation or monitoring of programs by an outside agencyWrite and submit periodic reports to comply with grant requirementsMaintain up-to-date master files on grantsMonitor paperwork connected with grant-funded programsMaintain and report relationships with funding agenciesOther related duties as requiredEDUCATION AND EXPERIENCE: High school diploma or equivalent (required)CA Driver's license (required)Experience as an Administrative Assistant (preferred)Bachelor's degree (preferred)Experience with Microsoft programsExperience in accountingSKILLS AND ABILITIES:Detail orientedSelf-starterTeam playerGreat communication skillsAbility to maintain confidentialityAbility to multi-taskAbility to work independently and with minimum of supervisionKnowledge of accounting software (preferred)PHYSICAL REQUIREMENTS:Ability to lift up to 25 lbs.
