Job Description

As a Publicity Travel Coordinator, you will be responsible for managing and executing complex travel logistics to support high-profile publicity campaigns for theatrical and streaming releases. You will coordinate domestic and international travel for talent, filmmakers, and their entourages, ensuring every detail is handled with precision and discretion. This includes booking commercial and private flights, arranging hotel accommodations, ground transportation, train travel, and airport greeters. You’ll work within approved travel systems to build and maintain accurate itineraries, while proactively identifying and resolving any issues that may arise. You’ll communicate updates and changes clearly to internal teams and external partners, often under tight deadlines. This role requires a high level of organization, professionalism, and adaptability, as you’ll be working in a fast-paced environment where priorities can shift quickly. Your ability to anticipate needs, maintain confidentiality, and collaborate effectively with others will be essential to your success.

Required Skills & Experience

- Minimum 1+ years of experience in travel coordination or a related field, with a bachelor’s degree or equivalent professional experience.
- Strong proficiency in Microsoft Office Suite and enterprise travel systems.
- Exceptional attention to detail, organizational skills, and ability to manage multiple priorities under tight deadlines.
- Professional communication skills across all levels, with discretion in handling confidential information.
- Proactive, collaborative, and solution-oriented mindset with a strong sense of urgency.
- Familiarity with global time zones and major cities to support efficient travel planning and quick itinerary adjustments.

Nice to Have Skills & Experience

- Experience using Amex Global Travel and other enterprise travel platforms.
- Prior experience in entertainment, publicity, or event-related travel coordination.
- Knowledge of major domestic and international travel hubs (e.g., New York, London, Tokyo).
- Calm and composed under pressure, especially when working with high-profile individuals.
- Professional demeanor with a strong sense of privacy and discretion.
