POSITION SUMMARY: The Creative Operations Manager (COM) is a highly organized and proactive role responsible for day-to-day management of creative workflow of a dedicated client account. This role is pivotal in ensuring the seamless execution of creative projects by helping define project scopes, managing job trafficking, delegating tasks, and optimizing creative team resources. The COM will serve as the operational backbone of the in-house design team, enabling creatives to focus on delivering exceptional work while maintaining timelines, adherence to budgets and quality standards. This is a multifaceted role that requires a blend of brand savvy, excellent communication and strong interpersonal skills.
ESSENTIAL JOB FUNCTIONS:
Project Intake & Trafficking
Education: Bachelor's Degree from a 4-year College, University, or Art School in Marketing,
Communications, Advertising, Project Management, Business Administration or a closely related field.
Experience: 4+ years of experience in creative operations, project management, or traffic management within an agency or in-house creative team.
Preferred Skills/Qualifications: Experience working with a dedicated client account or embedded team model. Familiarity with Adobe Creative Suite and digital asset management systems. PMP or similar project management certification is a plus.
Travel

ESSENTIAL JOB FUNCTIONS:
Project Intake & Trafficking
- Manage the intake of creative requests from both Smartsheet and the client intake portal (Monday.com), the Miller Zell Senior Account Manager, and additional internal stakeholders.
- Serve as the backup to the Senior Account Manager on new project initiation process in Smartsheet.
- Review and route projects through appropriate channels, ensuring accuracy and clarity in briefs and timelines.
- Maintain and optimize project management tools and systems.
- Work with Creative Director to assign tasks to designers, copywriters and other team members based on availability, skill set and project priority.
- Work with production resources to ensure that projects are released accurately, to the correct vendor and on-time.
- Monitor project progress and adjust schedules or resources as needed to meet deadlines.
- Identify and resolve bottlenecks or conflicts in workflow.
- Review each creative deliverable prior to client delivery to ensure all client-requested and proofreader changes, edits and revisions have been accurately captured.
- All production work that is ready for release by Miller Zell needs to be reviewed to ensure it matches the client-approved deliverables.
- Act as the primary operational liaison between the Senior Account Manager and creative team.
- Ensure transparency and alignment on project timelines, deliverables, and expectations.
- Develop and refine operational processes to improve efficiency and scalability.
- Implement best practices for creative project management and quality control.
- Support the adoption of new tools or systems that enhance team productivity.
- Maintain accurate records of project timelines, deliverables, and feedback.
- Provide regular reporting on team capacity, project status, and KPIs.
- Remain fluent and up to date on brand standards, usage guidelines and compliance practices from client.
- Ensure that changes to brand standards or new brand assets are shared with creative team.

Experience: 4+ years of experience in creative operations, project management, or traffic management within an agency or in-house creative team.
- Proven experience managing high-volume creative workflows and cross-functional teams.
- Strong understanding of creative processes across design, copy, and production.
- Proficiency in project management tools (e.g., Asana, Workfront, Trello, Monday.com, Smartsheets).
- Excellent organizational, communication, and problem-solving skills.
- Ability to thrive in a fast-paced, client-facing environment.
