What We’re Looking for:
The Event Producer’s primary role is to act as the project manager, point of contact, and client liaison throughout the entire life of a project. As part of the C&F Agency team, the Event Producer is responsible for translating our client’s vision into reality, while also managing the many moving parts of the program. This role works closely with our Sales team, Event Director, Design Department, Director of F&B and Production Manager.
Cloth & Flame is looking for an extremely detail-oriented, self-starter, who is organized, and an expert problem solver and communicator. Professionalism and a positive attitude are essential, and adaptability is a must.
Job Duties include but are not limited to the following:
Pre-Production
- Acts as the main point of contact for clients once contracts have been turned over from Sales
- Sole manager of the project's budget and expense grid
- Provides approval on all expenses or purchases made towards the event
- Organizes event folders and documents in C&F Operations Shared Drive
- Creates all planning document templates
- Sets frequent internal touch-bases with the team to align on project deliverables
- Sets frequent client touch-bases to ensure that both C&F and clients are fully up to speed on event progress
- Delegates tasks to the various departments for each project
- Works with Design and Production to create Site Maps
- Creates detailed ROS with clear expectations across all departments
- Sees through a project on event-day from start to finish
- Meets with Event Director weekly to review budgets, planning documents, etc.
- Sends all budget addendums (post-contract) to clients
- Drafts change-orders for client approval and signature
- Communicates with Accounting on all payment needs for vendors and clients
- Inputs payment requests into the Vendor Payment Log in a timely manner
- Maintains constant communication with vendors on quotes, invoices, load-in/out details, insurance, etc.
- Works closely with Production Manager to communicate pre-production, on-site and post-production needs
Event Day
- Manages and executes event from start to finish
- Ensures that all departments, vendors and staff have the proper planning documents and instructions before load-in
- Arrives on site 30 minutes before the first vendor arrives
- Delegates setup instructions and placements to vendors and Production
- Ensures that install timelines are being adhered to
- Instructs all departments on post-event strike plans
Post-Event
- Sends 'Thank You' email to clients within 48 hours post-event
- Ensures that all vendor payments have been completed
- Reconciles all expenses within 14 days post-event
- Sends final budgets to clients within 30 days post-event
- Sets internal recap call within 7-10 days post-event
Job Requirements
- Phoenix based
- 3+ years of event experience required
- Experience with event budgets larger than $250K
- Night and weekend availability required
- A clean driving record and reliable transportation is a must
- Comfortable working outdoors for extended periods of time (12+ hours)
- Able/willing to travel in-state and out-of-state (via car and/or plane pending on C&F’s budget & requisites)
Structure
- Contractor, seasonal with potential to full-time
- Hourly, weekly or flat rate pay dependent on scope of project
- Remote-flexible pre-event, onsite event day(s)
