Overview
The Program Manager for the Film and Photo Programs is responsible for providing administrative support to the Chair and faculty of these academic departments. The Program Manager reports primarily to the Department Chair, with a secondary reporting structure linked to the office of Academic Affairs.
STATUS: Full Time 10 month Ft 2 months half time

Responsibilities
- Perform a wide variety of administrative tasks in support of the Film and Photo Chair, and faculty in both programs;
- Provide reports, surveys, and information as requested by the Office of Academic Affairs or other administrative offices;
- Serve in a liaison function between the department Chair, faculty, students, and administration;
- Assist the Chair with the preparation and management of the departmental budget;
- Coordinate departmental purchasing of supplies and materials in conjunction with the Chair, Section Leads, and Photo Facilities Manager;
- Assist the Chair with hiring of adjunct faculty and timely and accurate processing of related forms;
- Recruit, train, schedule and supervise work study students;
- Organize and maintain all administrative records pertaining to the department including tracking budgetary information (travel expenses, purchasing materials, work study and model time sheets, etc.) and student records (including review scores and scholarship related matters);
- Coordinate Chair, faculty, and student travel arrangements – as well as manage the related documentation (regarding budget expenditure, reimbursements, etc.);
- Coordinate the maintenance of the department digital visual archive;
- Assist Chair with course scheduling and room assignments;
- Assist Chair in various projects as they arise that could include exhibits, special programs, scheduling special meetings, and other activities related to the department;
- Research curricula matters, benchmarking competitive programs, international film and photo competitions, etc., and writing the relevant summaries;
- Coordinate and manage departmental student submissions for film and photo festivals and competitions
- Work with the department Chair and faculty to develop the departments’ monthly reports for submission to both the Academic Affairs Office and Institutional Advancement;
- Edit faculty and Chair’s correspondence as required;
- Coordinate visiting faculty and other VIP visits;
- Take meeting minutes and create reports as required;
- Any additional Film and Photography departments-specific duties as required.
Qualifications
- Energetic, enthusiastic, and proactive candidate
- Self-motivated and capable of working in a fast-paced environment
- Executive and/or administrative assistant experience in either business or academia
- Have outstanding writing ability and computer skills (proficiency in Microsoft Office and/or Google Workspace software essential)
- Expertise in image management software, including Adobe Photoshop
- Excellent organizational and interpersonal skills
- Maturity to manage confidential student and faculty matters
- Flexibility to work in a highly diverse team of talented and creative people
Work Environment
This job operates in a professional office and college campus environment. The noise level in the work environment is usually moderate. The employee is occasionally exposed to outside weather conditions.

While performing the duties of this Job, the employee is regularly required to maintain a stationary position, use a computer and other office equipment, and communicate effectively in person, by phone, and virtually. Frequent interaction with others, including staff, faculty, students and third parties is required. The employee may occasionally be required to move files or other objects weighing up to 25 pounds, including from low and high places. The ability to move around within the office and between buildings on campus, attend off-site meetings and events, and travel between Ford Campus site to Taubman Center site are required.
