Job Summary

The Marketing Specialist - Production supports the Promotions and Production team and is responsible for assisting in the development and execution of advertising, print collateral, and other materials to meet Sales and Marketing goals within established deadlines. Supervises the advertising agencies of record and other suppliers who provide services on a case-by-case or contract basis. Manages the creative workflow, ensuring all elements and materials involved are completed in an orderly manner, on time, and within budget. Coordinates production projects assigned to outside advertising agencies and external vendors, serving as primary liaison for communication of direction. Provides support to the Promotions and Production team with various functions.

Essential Duties and Responsibilities

Coordinates and provides oversight of production projects. Works cross-functionally with Marketing and Products teams to define objectives and parameters of each job. Coordinates and directs day-to-day communication with agency, vendors, and end users to monitor project status, contractual requirements, and obtain required input and/or approvals. Advises and keeps manager informed of activity and project statuses. Manages and coordinates remote and in-person meetings with ad agency. Reviews all artwork and copy for completeness and accuracy. Obtains necessary legal and creative approvals. Obtains required cost estimates for projects within defined parameters and monitors performance. Seeks counsel and approval from manager prior to presentation to others. Manages receipt, reconciliation, and processing of estimates and invoices submitted by advertising agencies and external vendors according to KLC Purchasing guidelines. Compares against job estimates, assigns account numbers, obtains proper signatures, and retains copies of invoices, forwarding originals to Accounts Payable. Identifies overages exceeding 10% of estimate. Ensures revised estimates have been prepared and authorized explaining the reason for the overage. Tracks and monitors ongoing expenditures with advertising budget as assigned by VP, Chief Brand Officer, reconciling project expenses to budget. Organizes and updates job-related files, including maintenance of advertising file archives. Retains appropriate records compliant with the KLC’s records retention policy. Assists manager in developing and executing statewide second chance promotions, retailer incentive promotions, and other promotions that include coordinating details with participating co-partners. Writes rules and regulations and obtains internal approvals. Coordinates development and procurement for required point of sale (POS) and merchandising materials. Manages drawings related to these promotions. Provides pre- and post-promotion performance analysis. Works with draw team to facilitate drawings. Coordinates with winners. Assists with setup and implementation of annual consumer initiatives including sponsorships, events, community outreach, etc. Actively participates in events and acts as Lottery Ambassador to customers and retailers by answering questions, creating excitement, and enticing trial of products. Manages Point of Sale inventory and catalog/database to ensure sufficient quantities, up to date designs, and production details are available for the Sales and Marketing Department. Participates in other marketing activities as outlined by the Director of Brand Marketing & Sponsorships.

Knowledge/Skills/Experience

Bachelor’s degree in business, marketing, or related field preferred; related experience may be substituted in lieu of a degree. Experience in advertising and/or marketing with demonstrated success in managing creative development to meet objectives; advertising management experience on either the client or agency side preferred. Print production knowledge a plus. Excellent attention to detail and highly organized to develop, coordinate, and follow projects to completion. Excellent written and oral communication skills with the ability to work successfully with a variety of work styles and personalities. Ability to solve problems and meet deadlines with complete accuracy, while managing multiple projects on a day-to-day basis. Proven ability to effectively manage budgets. Proven decision making and sound judgment with minimal supervision. Competent computer skills and experience with Microsoft Office Suite – especially Word and Excel. Knowledge or experience in the lottery industry a plus. Valid driver’s license required.

Supervisory Responsibilities

This position has no supervisory responsibilities.

Working Conditions

Office/Hybrid environment in accordance with KLC policies. Occasionally works in outdoor weather conditions. Must be able to travel by car. May require occasional overnight travel and weekend and/or evening work.

Base pay range:

$52,800.00/yr - $66,000.00/yr Salary Range (Midpoint):
