About the Role
We’re seeking a detail-oriented and proactive Marketing Proposal Coordinator to support both marketing and operational functions. This dynamic role blends marketing coordination with administrative support, offering the opportunity to work alongside executive, administrative, and design team members.
This position is ideal for a highly organized, self-driven individual who thrives in a fast-paced environment and enjoys a mix of behind-the-scenes coordination and creative marketing execution.
Key Responsibilities
Marketing Proposal Coordination
Assist with CRM efforts with data entry related to clients, consultants, and personnel; maintain content library, including prior proposals, boilerplates, and visuals
Assist with development and production of proposals, SOQs, and RFP responses, including technical writing, editing, and formatting.
Maintain and update marketing collateral, including company profiles, project sheets, and staff bios.
Organize and maintain project photos, template libraries, and marketing resources.
Embrace and implement brand standards
Assist with graphics, writing, and proofreading
Prepare or assemble written and visual information for client presentations or guest speaking presentations
Maintain scheduling and tracking systems for individual pursuit and proposal elements and status
Identify and monitor SOQ/proposal criteria, ensure response is fully compliant
Administrative Support (Minor Responsibilities)
Schedule and coordinate meeting room bookings.
Maintain office calendars and contact lists.
Preparing client metric reports.
Coordinate travel and lodging arrangements.
Order office supplies and manage inventory for the team.
Extracting and processing project closeout documents, CAD files, and plans.
Uploading project documentation to SharePoint.
Editing and maintaining client status logs and monthly updates.
Assist with general office administration and communication tasks.
What Makes You a Great Fit
Education & Experience
Associate or bachelor’s degree in Marketing, Communications, Business Administration, or related field preferred.
Prior experience in an administrative or marketing role; AEC (Architecture/Engineering/Construction) industry experience a plus.
Skills & Attributes
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint); Adobe Creative Suite, including InDesign, a plus.
Comfortable interfacing with internal technical teams and external clients.
Strong written and verbal communication skills.
Exceptional organization and attention to detail.
Ability to manage multiple priorities and meet deadlines with minimal supervision.

Up to 0% The expected base salary range for this role is $50,000 - $60,000 USD per year. Actual compensation will be determined based on a number of factors including skills, experience, qualifications, and location.
