The Development Assistant provides support with activities such as scheduling donor, volunteer, trustee and physician meetings; handling acknowledgments, booking, and tracking of gifts; constituent management in donor database; preparing and processing mailings.

Key Responsibilities

Provides general office support including making phone calls, sending emails, coordinating mailouts, making store visits, greeting, host a hospital tour, check presentations and directing guests, and providing other basic administrative help as necessary.

Maintains meeting calendar of supervisor and schedules internal and external appointments and meetings with donors, prospects, doctors, volunteers, trustees, and hospital staff. Reserves and prepares conference rooms and orders refreshments for meetings and donor visits.

Coordinates a prospect pool of companies capable of making smaller gifts through various Cause Marketing fundraising Initiatives including the Children’s Miracle Network programs and manages all activities related to these corporate contacts.

Make local, and national, travel arrangements for Trust staff, and hospital staff as needed.

CRM tracking & prospect organization

Maintains accurate constituent records in the donor database (biographical details, Trust codes, solicitor actions, and proposals) and assists with developing cultivation, solicitation, and stewardship materials for donors and prospects.

Prepares invoices for the department including payment requisitions for vendors, employee reimbursements and serves as contact to resolve discrepancies. May reconcile monthly bills with overall budget.

Assists with updates to BCH Trust webpages (both intranet and external facing).

Supports event logistics, including tracking attendance, securing room space, coordinating with vendors for refreshments, and providing on-site event support.

Assists supervisor with projects and preparation of reports and documents, as needed.

Assist with Retreviex and event closet inventory – supply, tracking and deployment and organizing Distribute agenda, attend, take minutes & distribute recaps for recurring monthly and bi-weekly meetings

Assist with CMN EZPMR and NPARF Reporting

Qualifications

Bachelor’s degree or equivalent combination of education and relevant experience.

Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines.

Excellent written and verbal communication skills, including professional phone and email etiquette.

High attention to detail and accuracy, particularly when handling data, donor records, and financial information.

Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with donor databases or CRM systems preferred.

Ability to work independently as well as collaboratively in a fast-paced, team-oriented environment.

Demonstrated ability to handle confidential information with discretion and professionalism.

Strong customer service orientation and interpersonal skills for engaging with donors, volunteers, physicians, and hospital leadership.

Interest in nonprofit fundraising, development, or healthcare philanthropy strongly preferred
