37 Description The County of San Mateo is seeking qualified candidates for the position of

Legal Office Specialist . This classification is the senior, most experienced level in the legal office support classification series. It is not an entry-level position. Legal Office Specialists provide complex, technical and confidential clerical services in the District Attorney, Probation and Sheriff's Offices. They are considered experts in all aspects of the legal office support functions. Responsibilities include performing difficult legal clerical tasks; answering questions of varying complexity from staff, visitors and telephone callers; directing inquiries to appropriate personnel; creating legal correspondence, reports and other documents; proofreading for accuracy and proper English usage; data entry and retrieval in automated information systems; preparing reports and records requiring arithmetic calculations; researching and gathering information for completion of legal forms and reports; performing routine to difficult clerical duties; and serving as back-up for clerical coworkers when needed. In Sheriff's Office assignments, duties may include receptionist work, screening calls and visitors (including frequent contact with inmates), maintaining inmate records, processing court appearances, and handling money and personal property for inmates. Additional duties may include registering Sex Offenders, office supply management, mail processing, document processing (e.g., evictions, restraining orders, judgments), supporting jail programs and case management services, and related document and fiscal processing. The ideal candidate can multitask in fast-paced assignments, produce substantial legal correspondence, be detail- oriented, accurate and timely, adapt to interruptions and changing priorities, and use computers proficiently. They should apply sound judgment and tact in handling sensitive information and interact effectively with diverse individuals. Legal Office Specialists may provide English and Spanish translation orally and in writing. Some bilingual positions receive additional pay of $55 or $70 bi-weekly. NOTE:

Perform difficult, complex, technical and/or specialized confidential legal office support work, which may require independent judgment, technical skills, or knowledge of detailed activities related to the department assigned. Process commitments for various governmental institutions. Assemble, maintain and update master and trial calendars; set and reset trials, conferences and other legal matters. Compile information from multiple sources to complete forms for state, medical and social benefits; work with probation officers to ensure timely applications for probationers. Provide specialized office support in a correctional facility. Research and assemble information for forms or reports; perform arithmetic and statistical calculations. Provide information to the public or County staff that requires judgment and application of policies or procedures. Organize, maintain and purge departmental files. Type correspondence, reports, forms, and specialized documents from drafts or dictated instructions using appropriate equipment. Proofread materials for accuracy and compliance with policies and regulations. Enter and retrieve data, prepare reports, and review for accuracy; may access statewide confidential data networks. Oversee and perform office administrative tasks such as ordering supplies, arranging for equipment repairs, and coordinating meetings. Act as receptionist and direct calls or visitors; operate standard office equipment. May train others or supervise on a project basis. Provide off-hours support as required. Perform related duties as assigned. Qualifications

Knowledge of: Legal office terminology, processes, procedures and forms. Legal documents, forms and terminology. Policies and procedures related to the department assigned. Business data processing principles and use of word processing or personal computing equipment. Office practices and procedures, including filing and operation of standard office equipment. Business letter writing and standard formats for typed materials. Correct English usage, spelling, grammar and punctuation. Business arithmetic, including percentages and decimals. Record keeping principles and practices. Skill/Ability to: Perform technical, specialized, complex or difficult legal office support work. Organize, prioritize and coordinate work activities. Read and interpret rules, policies and procedures. Deal tactfully with a variety of individuals, including hostile or irate persons. Organize, research and maintain legal office files. Establish and maintain effective working relationships. Compose routine correspondence from brief instructions. Make arithmetic calculations with speed and accuracy. Use initiative and sound independent judgment within guidelines. Operate standard office equipment (word processor, computer, and central telephone equipment). Education and Experience:

Any combination of education and experience that would provide the required knowledge, skills and abilities is qualifying. A typical qualification is one year of journey-level office support experience in a legal office or two years of general clerical/office assistant experience. Other Requirements:

Selected positions may require the applicant to obtain and maintain a security clearance. Some positions may require the ability to type at 40 net words per minute from printed copy. Special Requirements:

For Sheriff's Office positions, the applicant must pass a detailed background investigation prior to employment. Shifts may include weekends and holidays with day, night, and swing schedules ranging from 8 to 12 hours. Language Requirements:

Some positions may require fluency in English and Spanish. Language skills may be tested at the interview. Application/Examination Open & Promotional:
