Overview

The Chelsea Film Festival is an event consisting of four days of screenings of independent shorts, feature-lengths and documentaries from emerging directors. In between sessions, we will be hosting Q&A sessions, and related events such as an industry mixer for professionals.

A production coordinator for a film festival acts as a vital link between the festival's logistical operations and its creative guests, such as filmmakers and artists. They manage schedules, coordinate travel and lodging, and handle technical and equipment needs. The liaison aspect involves being the primary point of contact for filmmakers, providing them with crucial support, information, and a positive festival experience.

Responsibilities

  • Logistical Coordination
    • Scheduling flights, accommodations, and ground transportation for filmmakers and guests.
  • Arranging equipment rentals, deliveries, and other technical needs for the festival's various productions.
  • Managing logistics for filmmaker orientations, panel discussions, and other special events.
  • Filmmaker Support
    • Serving as a central point of contact for filmmakers, answering questions, and addressing concerns.
  • Providing a detailed festival orientation and ensuring guests have the information and support they need before and during the festival.
  • Being on-call to provide immediate assistance to festival guests.
  • Administrative & Operational Support
    • Assisting with the creation and management of production schedules and calendars
  • Coordinating with internal staff, vendors, and external stakeholders to ensure seamless workflow.
  • Managing budgets, tracking expenses, and processing reimbursements.
  • Organizing and maintaining organized systems for paperwork, receipts, and important documents.
  • Liaison & Communication
    • Acting as the primary communication channel between filmmakers and the festival staff, facilitating the flow of information.
  • Communicating with external stakeholders, such as venue staff and technical teams, to meet festival needs.

  • A diplomatic and tactful approach to working with diverse individuals.
  • Experience with administrative tasks, including scheduling and database management.
