Overview
Acentra Health is seeking a Marketing Conference & Event Coordinator/Specialist to join our growing team. Lead the way in planning, coordinating, and executing conferences and events that align with the organization’s goals. This role requires a detail-oriented professional who thrives in fast-paced environments, can manage multiple priorities, and collaborates effectively with cross-functional teams.
Responsibilities
- Manage all aspects of conference sponsorship and event logistics, including registration, attendee management, coordination with travel agents, booth design, shipping and setup, scheduling, meeting and demo room arrangements, material shipping and storage, attendee communications, team briefings, and abstract submissions.
- Plan and execute in-person, virtual, and hybrid conferences and events; handle venue selection, vendor management, catering, décor, transportation, technology setup, and day-of execution.
- Assist in developing and managing conference and event budgets; negotiate vendor contracts and track expenses for cost-effectiveness.
- Support marketing and promotion efforts, including invitations and communications to drive attendance and engagement.
- Collaborate with internal departments, leadership, and external partners to align objectives with organizational goals.
- Manage guest lists, registrations, RSVPs, seating, and provide excellent customer service to attendees.
- Serve as primary on-site point of contact during events and troubleshoot issues as they arise.
- Conduct post-event evaluations, analyze feedback, and prepare improvement reports.
Qualifications
- Bachelor’s degree in Conference or Event Management, Hospitality, Marketing, Communications, or related field, or 4 additional years of experience in lieu of degree.
- 2+ years of event coordination or related experience.
- Strong project management, organizational, and multitasking abilities with keen attention to detail.
- Ability to work under pressure and meet tight deadlines.
- Proficiency in Microsoft Office Suite; familiarity with Microsoft Project preferred.
- Flexibility to work evenings and weekends, and travel as needed for conferences and events.
- Exceptional verbal, writing, and editing skills; strong interpersonal skills to work with vendors, stakeholders, and attendees.
- Familiarity with virtual/hybrid event platforms and technology; creative problem-solving and excellent communication.

Compensation
The pay for this position is listed below. Pay Range: USD $71,360.00 - USD $89,200.00 / Yr.
