Overview

The University of Iowa Health Care is seeking an Assistant Operations Manager to support our Urbandale Clinics and other Outreach/Specialty Clinics. This role supports day-to-day management of medical clinics and staff, collaborates with healthcare teams, and serves as a liaison between patients and providers. Responsibilities include addressing patient inquiries, optimizing patient experience, coordinating resources and administrative processes, and working with third-party vendors and enterprise partners to enhance clinic operations.

Location: Urbandale, IA and surrounding sites based on clinical needs/hours. Schedule: Variable hours between 8:00 AM – 5:00 PM, Monday through Friday. Availability to provide support to other clinics.

Position Details: Pay Grade: 5A; Percent of Time: 100%

Responsibilities

  • HR Management
    • Participate in recruitment and selection of staff.
    • Develop and implement strategies for staff performance management.
    • Ensure adherence to organizational policies, procedures, and regulations.
    • Provide constructive feedback and support HR initiatives to foster a positive work environment.
    • Assure staff compliance with UI policies and procedures.
  • Financial
    • Gather and analyze financial and productivity data to inform decision-making.
    • Assist in budget development, resource allocation, and cost containment.
    • Assess patient grievances leading to financial adjustments and present to senior leadership for approval.
    • Create strategic business proposals for new patient care initiatives (service expansion, provider addition, new locations) and review clinic visits to ensure budget targets are met.
  • Operations
    • Ensure compliance with standards of care, regulatory requirements, and safety protocols.
    • Lead quality assurance initiatives to enhance patient care and satisfaction.
    • Collaborate with staff to meet established goals and objectives.
    • Oversee onboarding for new providers and collaborate with UI HealthCare departments.
    • Address patient complaints with the Office of the Patient Experience.
    • Ensure department compliance with accreditation standards and recommend improvements.
    • Monitor Riskonnect submissions and respond as needed.
    • Identify QA priorities and trends with nursing leadership and Medical Director.
  • Patient Care/Services Delivery
    • Evaluate physician scheduling templates to improve patient flow, reduce wait times, and boost efficiency.
    • Gather, analyze, and format data for reports to ensure cost-effectiveness and efficiency.
    • Enhance clinic workflow by ensuring staff operate within their scope of practice.
    • Promptly address patient complaints or concerns.
    • Review patient satisfaction reports with leadership and stakeholders; identify recurring issues and implement improvements.
    • Staff frontline as needed.
  • Planning and Goal Management
    • Participate in developing the offsite strategic plan.
    • Develop action plans to meet goals.
  • Communications
    • Foster productive relationships with faculty, staff, Department Administrators, DEO, Strategic Planning, Marketing and Communications, and UIHC patient care support areas.
    • Maintain regular communication with key stakeholders to optimize operations.
    • Address and resolve issues by effectively communicating with patients, families, and staff.

Qualifications

  • Bachelor’s degree in Business or Health Care Administration or equivalent combination of education.
  • 1-3 years health care experience.
  • 3-5 years of administrative experience required.
  • Excellent written and verbal communication skills.
  • Proficiency in computer spreadsheet and database applications.
  • Valid US driver’s license and ability to meet University of Iowa Risk Management driving requirements.

Desired Qualifications

  • 1-3 years of ambulatory health care experience.
  • 1-3 years of experience directing patient care delivery.
  • Experience collaborating with external stakeholders to support smooth ambulatory clinic operations through strong relationships and clear communication.
  • Master’s degree in business, healthcare, or higher education administration.
  • Knowledge of University of Iowa Hospitals and Clinics policies, procedures, and regulations.
  • Self-directed with excellent judgement in prioritizing multiple projects.
  • Commitment to customer and employee satisfaction and strong analytical skills.
  • Ability to facilitate positive outcomes through teamwork and meeting department objectives.
