This role is responsible for driving the planning, execution, and delivery of creative outputs. You will serve as the central point of communication, coordinating between creative and production, technical, and account teams to streamline deliverables and workloads to keep projects on track, on budget, and on time.

From a 10,000ft view, you will oversee creative talent across various projects on one of our largest accounts and work with the resource management team to ensure accurate project details are communicated and submitted so skill sets, budgets and schedules are matched to project needs. This role involves balancing workloads and forecasting future staffing requirements to support agency growth and project demands. You will look for ways to improve and streamline processes, relieve friction, and advocate for high quality creative work and impressive project results.

What you will be doing...

  • Talent Allocation: Work in collaboration with the Creative Lead and Resourcing team to assign creative team members to projects based on their skills, experience, and current workload.
  • Workload Management and Forecasting: Monitor assigned creative team capacity (full-time and freelance) to ensure a healthy workload. Forecast future staffing needs based on the project pipeline.
  • Process Improvement: Develop and refine project processes, tools, and systems to increase efficiency and transparency across projects in the portfolio.
  • Project Kick-off Support: Collaborate with program leads during the initial stages to ensure the right creative team is in place and fully briefed on the project's creative and logistical needs.
  • Reporting and Analysis: Provide leadership with regular reports on project burn and key metrics to inform business decisions and strategic planning.
  • Team Coordination: Assemble and manage the creative team, assign tasks, and facilitate clear communication to ensure everyone is aligned.
  • Post-Mortem Analysis: Conduct a thorough project review after the event to identify successes, failures, and areas for future improvement. Carry those key learnings into project management work across the entire account.

What you will bring to Jack:

  • 3-5 years of project management experience in a similar role at an experiential, creative agency, design studio, or event production company.
  • Understanding of creative experiential agency work and the various disciplines therein (2d design, 3d design, digital, motion + video, technical + live show, decor and styling, etc) is a plus.
  • Able to manage up and down and work across many departments in a large agency.
  • Capable of taking an abstract set of parameters and distilling them into clear and actionable next steps.
  • A great communicator who can convey ideas clearly and gracefully handle feedback.
  • Highly proactive and organized, with a passion for systems and efficiency.
  • The ability to stay organized and manage multiple tasks simultaneously.
  • Technical Skills: Must be highly proficient in Google Drive, Sheets, and Slides, and proficient in Microsoft (Outlook, Excel, etc). Experience with project management tools is a big plus.
