Summary

The Community Manager is responsible for supervising, controlling, and planning the day-to-day activities of the apartment community. They implement company policies, procedures and programs to ensure a well-managed, well-maintained property within management operations and compliance with regulatory agencies and investors.

Essential Job Functions

  • Define and achieve property objectives with independent judgment; evaluate objectives and recommend changes to property structure, management, and goals.
  • Renewal offers to residents prior to lease expirations.
  • Create and post 10-day notices and small balance letters for non-payment of rent; process late fees.
  • Oversee finalized paperwork for Move Out Review and submit to Haven Residential.
  • Ensure work orders are entered and closed out timely.

Resident Management

  • Aim to achieve a 95%+ collected occupancy rate.
  • Renew 100% of resident leases at or near market rents, 30 days prior to expiration; use budgeted rent schedules or approved prices from Management Company.
  • Be the first point of contact for residents and conduct showings, accept applications, and complete the lease process for current and future units.
  • Ensure applications are completed accurately and processed per guidelines; submit leases/applications with appropriate deposits; leases signed and payments made before keys/access codes are issued.
  • Complete move-in/move-out checklists with residents; finalize vacate settlement statements and return copies within one week.
  • Complete weekly activity summaries and time logs to Regional Manager; maintain confidentiality on property, ownership, and resident matters.
  • Conduct business in accordance with company policies, Fair Housing, ADA, Fair Credit Reporting Act, and all relevant laws for multi-family housing.
  • Comply with Haven Residential Operations and Policy Manual; document and log all maintenance requests.
  • Provide monthly and weekly financial reporting.

Marketing

  • Study market trends and opportunities related to utilities, parking, value-added services, and community needs.
  • Conduct property surveys of neighboring properties focusing on amenities, rents, concessions, and curb appeal.
  • Conduct open houses and participate in events as requested by Corporate Managers.
  • Distribute resident communications (newsletters, notices, etc.).
  • Design and implement approved resident retention and incentive programs with Regional Manager.
  • Post vacant apartments on approved marketing venues.

Employee Management

  • Direct the work of a minimum of two full-time team members.
  • Monitor and evaluate team performance; have primary authority for hiring, firing, promotion, and status changes within the property.
  • Provide mentoring and training to enhance employee value; take decisive disciplinary action when required.
  • Monitor time reporting, quality/efficiency, and ensure follow-up on make-readies.
  • Address employee needs, training certifications, and overall teamwork.

  • Honesty in time reporting; reliability is essential.
  • Knowledge of Microsoft Office (Excel, Word, PowerPoint, etc.).
  • Valid driver’s license may be required.

Education and Experience

  • Educational degree not required.
  • At least one year of experience preferred.
