Marketing Coordinator I

Location: Clermont, FL (Hybrid eligible after 1 year)

Position Summary:

Forefront AE is expanding! We are seeking a driven and detail-oriented Marketing Coordinator I to join our growing marketing team. This entry-to-mid level position plays a critical role in supporting our proposal development efforts, branding, and marketing campaigns. The ideal candidate brings 13 years of experience in the AEC (Architecture, Engineering, and Construction) industry and thrives in a deadline-driven environment. Key Responsibilities:

Assist in the development and production of high-quality proposals, qualifications packages (RFQs/RFPs), presentations, and related materials under tight deadlines.

Help manage the firms online presence, including social media content and website updates.

Coordinate with architects, engineers, and subconsultants to gather and organize proposal content.

Maintain and update marketing collateral including project sheets, staff bios, firm overview content, and digital assets.

Support CRM data entry and tracking in platforms like Cosential or equivalent (HubSpot, Salesforce, HighLevel etc.).

Prepare content for newsletters, email campaigns, and digital marketing initiatives.

Maintain organized marketing files including project photos, templates, and firm standard documents.

Participate in internal meetings to support strategic planning and special initiatives.

Provide logistical and administrative support for industry events, conferences, and client meetings.

• Some local travel may be necessary for client meetings and industry events.

Qualifications & Requirements:

Bachelors degree in Marketing, Communications, Journalism, or a related field.

13 years of relevant experience, preferably in an AEC firm or professional services industry.

Strong writing, editing, and proofreading skills with an eye for detail.

Proficiency in Microsoft Office Suite (Teams, Word, PowerPoint, Excel, Outlook).

Working knowledge of Adobe Creative Suite (InDesign is a must; Photoshop and Illustrator a plus).

Ability to manage multiple tasks and deadlines simultaneously.

Excellent interpersonal skills and comfort collaborating with diverse technical staff.

Self-starter who is highly organized and able to work independently or as part of a team.
