Overview
This role is a critical part of the Department's outreach and engagement efforts, with a strong emphasis on event planning and coordination. The position leads the planning and execution of seminars, symposia, and signature events that showcase faculty, students, and research.
Key Responsibilities
- Organizes academic symposia, educational special events, research seminars, and departmental and research meetings.
- Independently, and in conjunction with key faculty and staff, organizes the Annual Neuromuscular Plasticity Symposium, Weekly Neuromuscular Plasticity Summer Seminar Series, Rehabilitation Science Seminar Series, and other departmental and research meetings. This includes managing communications and coordinating all logistical aspects (travel, itineraries, room reservations, catering, A/V, facilities, equipment, signage, decorations).
- Recruits and organizes speakers and symposium scholars; arranges travel logistics and meeting itineraries as needed.
- Oversees event logistics and public relations activities to promote events; monitors budgets in collaboration with the Assistant Director of Administrative Services.
- Formulates committee meeting agendas; serves as liaison and primary point of contact for T-32 trainees, preceptors, and departmental faculty and administration during T32-sponsored events and related communications.
- Coordinates marketing efforts for events using social media, web, and written content.
- Creates programs, agendas, or itineraries; maintains guest lists and communicates with participants as needed.
Assists the administrative specialist with organizing departmental events in compliance with UF and state rules (e.g., alcohol policies, maintenance requirements).
Marketing, Public Relations & Communications
- Plans, designs, and maintains content for the Department of Physical Therapy and Rehabilitation Science websites; implements updates and optimizes functionality.
- Coordinates multiple media campaigns to promote the department’s educational, service, and research activities.
- Develops and implements a strategic departmental marketing plan with stakeholder input.
- Evaluates marketing trends to guide strategy; leads outreach to publicize programs, events, and research achievements.
- Develops and publishes advertising materials for programs and events; coordinates social media accounts with contemporary strategies.
- Solicits content from faculty, staff, students, alumni, and other stakeholders for marketing uses and department communications.
- Identifies marketing channels to promote department programs and activities.
- Gathers, writes, and distributes department news releases, program newsletters, and website news; routes materials for review and archives them in the central repository.
- Prepares flyers and presentation summaries for annual/national meetings (e.g., CSM, APTA); explores software/tools to support marketing efforts.
Special Projects
- Assists with ad hoc travel for VIPs and event speakers; supports education staff and faculty as requested.
- Serves on the Department of Physical Therapy education team; attends monthly meetings and contributes to the department’s education programs.
- Performs other duties as assigned.
Required Qualifications
- Bachelor’s degree and two years of relevant experience; or an Associate’s degree and four years of relevant experience; or an equivalent combination of education and experience.
Preferred Qualifications
- Bachelor’s degree in marketing, public relations, event management, or related field.
- Experience with marketing and event planning.
- Proficient knowledge of Microsoft Office Suite; graphic design software and WordPress.
- Strong attention to detail, organization, critical thinking, and communication skills.
- Experience engaging with external speakers or stakeholders in a professional, high-visibility capacity.
