Position
COURT REPORTER
Department: Allen County Juvenile Center - Judicial FLSA Status: Non-exempt
Classification/Level: Office Support, PG-07 Date: 04/2023
Serving the Judge and Magistrates under the direct supervision of the Quest Administrator, the Court Reporter preserves what is said or occurs in court proceedings, ensuring that official records are made without disruption or delay. This position is described under Indiana law and is covered by the Superior Court Employee Handbook. This is an employee-at-will position.
ESSENTIAL FUNCTIONS
- Prepares court orders and chronological case summary entries into the appropriate Case Management System.
- Schedules court hearings.
- Records courtroom proceedings by electronic equipment, supplemented by shorthand and/or note taking.
- Responsible for the safekeeping of the record and all exhibits.
- Coordinates judicial calendars, handles phone calls, and processes pleadings and correspondence from attorneys and pro se litigants.
- Prints judges\' notes, prepares files for court, and updates the case management system with case and party information.
- Creates a record of a trial or proceeding and is responsible for the preparation of any requested transcript of the trial, which must comply with Rule 11 of the Indiana Rules of Appellate Procedure.
- Acts as back-up to Judicial Assistant at front reception desk as needed, performing duties including, but not limited to, answering the telephone, receiving, and processing pleadings, scheduling hearings, and answering procedural questions for pro se litigants or attorneys.
- Performs all other duties as assigned, including overtime as required.
REQUIREMENTS
- High School Diploma or GED and three years secretarial experience working in the legal field
- Ability to use Microsoft Office and other job-related software
- Must be familiar with family relations and juvenile delinquency court process
- Paternity and delinquency court process
- Strong grammar, spelling, typing, vocabulary, and language skills
- Strong understanding of legal terminology
- Ability to handle high volume caseloads in a fast-paced environment
- Ability to use various office machinery including, but not limited to, telephone, computer, digital recording equipment, video conferencing equipment, hearing impaired equipment, digital camera, copy and fax machines
- Ability to type 65 words per minute
DIFFICULTY OF WORK
The Court Reporter performs work that involves many variables while preparing court orders, coordinating judicial calendars, and processing correspondence, among other things. Judgment is needed in selecting the most pertinent guidelines when recording courtroom proceedings and preparing requested transcripts.
RESPONSIBILITY
The Court Reporter applies standardized practices when preparing court orders and chronological case summary entries. Purpose and desired results are indicated. Deviations from guidelines must be referred to the supervisor.
PERSONAL WORK RELATIONSHIPS
The Court Reporter maintains frequent contact with other County employees, courthouse security/bailiffs, attorneys, probation officers, psychologists, parties to the cases along with their families, and the general public.
WORKING CONDITIONS
The position is situated at the Allen County Juvenile Center where the case types are family relations and juvenile delinquency. The Court Reporter works primarily in a courtroom setting requiring frequent sitting, some lifting of up to twenty pounds, some bending, and pushing and/or pulling loads. The position involves very frequent typing, including transcription and proofreading, and there is a need for attention to detail concerning work product and proper functioning of the recording and other job-related equipment. Due to the nature of the cases heard at the Allen County Juvenile Center, the court hearings may involve potentially violent parties or juveniles. The Court Reporter is provided with an office or personal workstation which is located in the secure/non-public area of the building.
