GreenRubino is hiring: Accounts Payable Specialist - Media Advertising in Seattl

Overview

We’re looking for an Accounts Payable Specialist with hands-on experience in media payables. In this role, you’ll own the full accounts payable cycle, processing vendor invoices, reconciliations, and payment cycles. You’ll work closely with internal teams and external partners to ensure accurate, timely, and compliant payment management. This role requires someone local to Seattle, WA.

Key Responsibilities

• Set up and maintain accurate vendor records, including purchase orders, digital invoices, and W-9s.
• Review, validate, and process vendor invoices, expense reports, and credit card transactions with high accuracy.
• Prepare and process weekly payments, ensuring vendors are paid correctly and on schedule.
• Reconcile media pre-bills and resolve discrepancies in collaboration with Media Buyers and Account Managers.
• Partner with Media, Business Management, and Finance teams to ensure smooth AP workflows.
• Build and maintain strong vendor relationships; address inquiries and resolve payment issues promptly.
• Ensure compliance with agency policies, client contracts, and tax regulations.
• Support the month-end close and manage annual 1099 reporting.

Qualifications

• 3+ years of accounts payable experience, including at least 1+ years in media or advertising payables.
• Knowledge of media buying, insertion orders, and billing processes.
• Proficiency in accounting software and advanced Excel skills. (Experience with Workamajig and media buying platforms is a plus.)
• Strong organizational skills with the ability to manage multiple priorities in a deadline-driven environment.
• Excellent communication skills (written and verbal) and a collaborative, solutions-oriented mindset.

Starting Salary Range: $55,000-$75,000 DOE
