Position summary
The Service Writer is responsible for scheduling and coordinating all service work and parts order entry for machine repairs in a manner that reflects the company’s vision of working as One Professional Team while also managing all related work order and paperwork responsibilities. Where applicable, guides the work of the Service Clerk(s).
Responsibilities
- Initiates and closes all shop work orders as necessary
- Creates service estimates for customers prior to beginning work
- Coordinates with customers regarding service estimates and approvals before work begins
- Schedules and maintains records on safety training, vehicle inspections, etc.
- Handles all incoming calls pertaining to scheduling of shop work and customer inquiries for all shop related areas
- Reviews work orders, warranty jobs, daily hours, and determines appropriate actions
- Reviews and approves daily hours on each work order
- Reviews service work in progress for work orders closed in shop and open in service accounting
- Reviews all customer jobs with shop manager or designee to ensure work requested is completed
- Complete & submit parts exchange core reports in a timely manner
- Organize and maintain all paperwork for work orders, current library of publications, and file on POs and canceled POs
- Check requisitions for proper coding; determine dollar amounts on firm rates
- Assists with other duties as assigned by manager
Qualifications
- High School Diploma or GED
- 2 years vocational training preferred
- 5 years experience as a technician or comparable position
- 3-5 years administrative/clerical experience
- 3-5 years customer service experience
- 1-3 years sales experience
- 1-3 years supervisory/management experience
Physical Demands & Competencies
- Standing, walking, talking, sitting, use of hands & hearing
- Sedentary work that may require occasionally lifting and/or moving up to 25 pounds
- Data entry, telephone, reading/writing, reasoning, organizational, communication & math skills
- Ability to direct the work of others in a fast-paced environment
- Warranty training/knowledge; basic knowledge of Microsoft Word and Outlook; basic knowledge of DBS, SIMSI; intermediate knowledge of ET/SIS/SIS Web/STW
