Note: This is a fully on-site position (no hybrid or telework), requiring five days per week in person, with events that may extend beyond standard business hours and into weekends.
Responsibilities Take a hands-on role in every stage of event production from securing venues, managing vendors, and overseeing logistics to executing seamless event operations as the on-site lead.
Collaborate across Metro including Communications, Government Relations, and Operations to deliver impactful, high-quality experiences.
Plan and execute high-visibility events such as ribbon cuttings, groundbreakings, commemorations, and promotional activities.
Recruit, train, and manage volunteers for Metro’s Information Person program.
Develop scopes of work, event timelines, task lists, and detailed plans to ensure all aspects of events are delivered on time and within scope.
Coordinate with internal and external staff and stakeholders, including contractors and vendors, to align event objectives with organizational goals.
Manage contracts and track deliverables to ensure vendor performance.
Liaise with vendors to secure services and ensure compliance with Metro’s procurement policies.
Identify and secure suitable event venues based on capacity, logistics, and goals.
Track and report event-related expenses to maintain adherence to budgets.
Support invoice processing, purchase card management, and other financial tasks as assigned.
Draft event communications, including briefing documents, talking points, and event summaries.
Collaborate across Metro teams (Employee Communications, Media Relations and Digital Communications, Community and GOVR Relations, and Operating teams such as Bus, Rail, and MTPD).
Maintain accurate event records and documentation for future reference; contribute to internal public events calendar and tracking tools.
Support special projects and unplanned initiatives as assigned by leadership, demonstrating flexibility and problem-solving skills.
Qualifications Minimum Qualifications
Education
Bachelor's degree in Event Management, Hospitality, Marketing, Communications, or a related field.
Experience
Minimum of five (5) years of experience in event planning, project management, or related roles.
One (1) year of experience working with vendors, managing contract compliance, and making vendor recommendations based on event needs.
Certification/Licensure
A valid driver license
Preferred Qualifications
Experience working on regional or large-scale events in collaboration with multiple jurisdictions.
Other Functions Maintain safety awareness and accountability; promote a positive safety culture and report safety concerns per our Agency Safety Plan and regulatory requirements.
