Overview

Albertsons Library is hiring for three Library Assistant II positions in the Acquisitions & Collections Unit.

Position 1: supports faculty, staff, and students by providing and enhancing discovery and access to serials and continuing resources, while ensuring invoices are processed with a high degree of accuracy. This position must understand complex procedures, communicate efficiently, and effectively prioritize tasks to meet deadlines.

Position 2: supports copy catalog materials by determining and selecting bibliographic records from the OCLC online bibliographic utility and importing them into the Voyager Cataloging Module, ensuring records are current and include standards such as RDA and linked data where applicable.

Position 3: supports faculty, staff, and students by providing interlibrary loan and document delivery services. Processes interlibrary loan lending requests for articles and library materials in other formats, and handles receipt and return shipment of loaned and borrowed materials.

Department Overview

Albertsons Library Acquisitions and Collections Department at Boise State University is responsible for acquiring and providing access to library resources in electronic, media, and print formats. Resources are obtained through subscriptions, firm and approval orders, short term loan, interlibrary loan, Federal Document depository, open access, and as gifts. We provide patrons with access by maintaining bibliographic and holdings data; linking URLs in Voyager, OCLC, Worldcat Discovery, and the Library’s journals A-Z; through document delivery; and processing of physical materials.

Level Scope

Applies skills and knowledge in area of specialization; may adapt procedures, operations, techniques, tools, materials, and/or equipment to meet needs of the area; may work on non-routine tasks; resolves issues and makes working decisions within area of specialization or responsibility with minimal supervision.

Essential Functions

Position 1 — Serials and Continuing Resources Management Support

  • Selects bibliographic records, sets holdings in OCLC, copy catalogs subscribed materials, open access titles, and e-Journal collections to provide discovery and access for the Boise State community.
  • Runs quality control reports to identify bibliographic, holdings, and item records in the Voyager Catalog module requiring correction, updating, and troubleshooting. May import new format catalog records to comply with local and WorldCat Discovery standards.
  • Gathers usage statistics information for electronic resources and provides data as needed to assess the effectiveness of subscribed journals and databases.
  • Manages print serials check-in process, including creating item records from bar codes and adhering labels. Responsible for claiming missing print serials received through third-party vendors.
  • May assist with submitting department invoices to Shared Services for payment and serves as backup to Library Administration.
  • Refer new vendors to PaymentWorks to set up for payment in the University Bronco Hub system.
  • Collaborate with the Library Business Manager to troubleshoot first-level issues with vendor payment information.

Position 2 — Receiving and Collection Management

  • Collection Maintenance: Select, update, and maintain bibliographic records in OCLC Connexion; update or replace MARC records and holdings in the Voyager Cataloging module; ensure URLs to electronic resources are accurate and functioning.
  • Receiving: Receives library materials and enters data into the library’s ILS and ordering system. Monitor library budget requests for expenses, and prepare and track invoices sent to Shared Services for payment.
  • Collection Maintenance & Quality Control: Maintain specialized collections (government documents, leased-to-purchase eBooks, gifts/donations, Idaho Textbook Adoption materials). Coordinate collection inventories; withdraw lost/paid items, relocate items, or reinstate withdrawn titles as directed.

Position 3 — Interlibrary Loan and Software Accessibility Review Support

  • Lending Requests: Evaluate and process lending requests through ILLiad. Consider cost limits specified by requesting libraries. Determine if articles can be delivered electronically. Consult with the Section Manager for difficult requests.
  • Processing Loaned Materials: Locate, check out, prepare for delivery, and ship materials requested by other libraries. Unpack incoming mail from borrowing libraries and check in.
  • Borrowed Materials: Prepare and receive materials borrowed from other libraries.
  • Document Delivery: Backup for document delivery pulls the requested materials and prepares for delivery or hold.
  • Payable processing: Track library budget requests for expenses and prepare and track invoices sent to Shared Services for payment.
  • Develop current reports for lending and borrowing statistics.
  • Refer new vendors to PaymentWorks to set up for payment in the University Bronco Hub system.
  • Library Software and Accessibility Review: Work with vendors and campus to complete software accessibility requests.
  • Maintain the Vendor Accessibility and Privacy documents.

General

  • 5% of time these positions must: Perform other duties as assigned.

Knowledge, Skills, Abilities

These positions require:

  • A high level of accuracy and attention to detail.
  • Knowledge of bibliographic search techniques and ability to develop search strategies to locate or retrieve bibliographic data from a variety of automated and print sources.
  • Knowledge of machine-readable cataloging (MARC) and ability to identify components of a MARC-tagged bibliographic record in an automated database.
  • Knowledge of library terminology and operations, ideally with Acquisitions and Technical Services work.
  • Ability to work independently, establish priorities, communicate effectively in writing or orally, make sound decisions, apply general procedures to varied circumstances, analyze and solve problems, and work in a highly computerized environment.

Minimum Qualifications

Good knowledge of current library organization, terminology and functions. Some knowledge of supervisory practices. Experience using bibliographic and other library information sources (printed and computerized); using a bibliographic utility or in-house automated library system to perform acquisitions, cataloging, or serials work; compiling and analyzing information and writing a summary in a work setting; using computer applications software.

Preferred Qualifications

  • Six months of library work experience
  • Knowledge of bibliographic and holdings records
  • Knowledge of call number construction related to Library of Congress, Dewey Decimal, or Superintendent of Congress classification schemes
  • Knowledge of ILLiad or other interlibrary loan systems
  • Experience searching for and purchasing library materials in all formats
  • Experience with organizing records and maintaining accurate, detailed records
  • Experience gathering usage statistics for electronic or print resources

Salary and Benefits

  • Salary: $17.94 per hour and is commensurate with experience. Boise State University provides a best-in-class benefits package, including (but not limited to):
