About the Role
The Assistant Librarian will work closely with the Principal Librarian to provide support for the day-to-day operations of the Pacific Symphony Library, contributing to the creation of exceptional symphonic music presentations and patron experiences. As part of the Artistic Operations team, this position will assist our Music Director, musicians, staff, other conductors, and guest artists by providing performance-ready music and repertoire information.
Primary Responsibilities
- Assisting the Principal Librarian in preparing parts and scores for Pacific Symphony’s Classics, Pops, Education, and Chamber series as well as cultural concerts (Lunar New Year, Nowruz), partner concerts (American Ballet Theatre, Pacific Chorale, SOKA), and other specials.
- Transferring bowings, marking cuts, adding rehearsal numbers, fixing page turns, and similar hands-on music preparation and repair.
- Proofreading and correcting errata in music.
- Photocopying, scanning, and binding music.
- Assembling and distributing concert folders.
- Creating and publishing audition packets for use by candidates and committees in coordination with the Director of Orchestra Personnel, Music Director, and audition committees.
- Attending rehearsals and concerts as assigned; Ensuring proper stage placement of scores and parts, timing performances, and assisting as needed with last-minute changes or problems.
- Cataloging and maintaining performance records of the music library collection including upkeep of the OPAS library module.
- Creating concert run-lists and making repertoire and instrumentation information available to the orchestra and staff.
- Tracking inventory of rental music and creating return shipments as required by music publisher contracts.
- Assisting in training and supervision of library volunteers and interns.

Experience and Qualifications
- Undergraduate degree required; Music degree in performance, composition, or conducting preferred.
- Two years of ensemble librarianship experience required; Festival or professional orchestra library experience preferred.
- Willingness to work flexible night and weekend hours.
- Ability to demonstrate and maintain acute attention to detail, organizational skills, and problem-solving faculties.
- Must possess the ability to stay calm, think clearly, and maintain a professional demeanor under pressure.
- Have strong desire to work with musicians and to provide the best customer service possible.
- Ability to interact effectively with Music Director, musicians, staff, stage crew, and guest artists.
- Thorough knowledge of orchestral literature, foreign terms, musical terms/signs (including bow markings) and contemporary notation.
- Ability to read/write music in different clefs and transpositions, transcribe parts, copy orchestra parts legibly and quickly using hand manuscript and computer notation software.
- Experience in use of performing arts technology systems such as OPAS.
- Experience with image-editing software such as Adobe Acrobat and Photoshop.
- Proficiency with Office software including Outlook, Word, and Excel.
- Physical ability to lift and transport materials up to 50 pounds.
