Overview

The Publicity Coordinator plays a key role in supporting film publicity campaigns by managing logistics, coordinating with internal and external partners, and ensuring smooth execution of press and promotional events. Responsibilities
- Handle travel arrangements (cars, flights, hotels) and grooming/styling needs for assigned talent and filmmakers across the team\'s films, and compile/process expense reports for the VP & Director.
- Schedule meetings for the team and VP as needed and coordinate calendars across Co-Heads, including managing holds/buffers and resolving conflicts for campaigns and awards cycles.
- Coordinate press and screening logistics, including screenings (press & word-of-mouth), print requests, press check-in, attendee lists, sending and tracking screening links, and formatting press breaks and tune-ins for assigned titles.
- Manage agency/vendor logistics by liaising with consultants, glam teams, and other vendors, and coordinating asset requests across departments for film campaigns.
- Organize events and festival logistics (press days, screenings, premieres, junkets, and festivals) with oversight from senior team members.
- Handle vendor and consultant management, including contracts, payments, and coordination with Legal, Finance, and Payroll for proper setup and compliance.
- Maintain and update publicity budgets weekly, create and manage talent schedules and film calendars, and produce status reports for films and the publicity department as needed.
- Collaborate with internal teams (Photo/EPK, Digital, Events, National Promotions, Production) to ensure alignment and support across publicity efforts.
- Participate in brainstorming sessions, provide guidance to interns, and keep NY & LA press lists current in collaboration with other coordinators under senior oversight.
Qualifications
- 1+ years supporting a publicity executive or experience in entertainment publicity/marketing; publicity executive support preferred
- Bachelor’s degree or equivalent experience
- Proficient with Mac & Windows, including Word, Excel, PowerPoint, Photoshop, Illustrator
- Excellent oral and written communication skills
- Strong organizational and multitasking abilities; ability to work under tight deadlines in a fast-paced, team-driven environment
- Proactive self-starter with initiative; strong follow-through and collaborative mindset
- Flexible hours, including overtime and weekends as needed; comfortable with social media tools and trends
