Position: Photoshoot Producer & Sample Coordinator

Overview: Responsible for the scheduling, production and sample coordination for all marketing photoshoots across multiple channels & customer touch points. This includes photography for in-store, eCommerce, social media and email. Serves as the critical liaison between Creative/Content Teams—working directly with Merchandising/Buying Departments to ensure the correct product samples are delivered to photo studio on a timely schedule. This role requires strong project management, excellent communication and organizational skills. Ideal candidate should have familiarity with fashion and ready-to-wear brands in retail or editorial environment.

Core Responsibilities

• Photography Budget & Schedule: Manages end-to-end budget process, tracking, and confirming that all invoices have been received and processed in a timely manner
• Coordinates seasonal photoshoot dates with Marketing Project Manager and Studio Manager throughout the year
• Provides bi-weekly reports on photography budget
• Sets up new vendor contracts, model release forms and tracks

• Photoshoot Production: Creates production decks for each shoot, assisting Art Directors as needed
• Add meta-data to each shot as provided by content team
• Maintain library of swipe and inspirational “go-bys” for team
• Serves as a liaison between the creative, content and photography teams to accurately communicate upcoming challenges or changes prior to (or during) each photoshoot
• Post-shoot, distributes contact sheets and places images in appropriate production/content decks
• Attends photoshoots as needed

• Sample Coordination: Coordinates with merchandising to request samples from buyers based on tactics and delivery dates
• Organize and label samples as they arrive in appropriate groupings and shoot date
• Pack, deliver and pick-up shoes to/from studio in a timely manner as directed by Photo Manager

Knowledge, Skills, and Abilities

• Communication: Must possess excellent verbal and written communication abilities to present ideas clearly and engage various stakeholders effectively.
• Organizational Skills: Strong ability to prioritize tasks and ensure projects are completed on time.
• Problem-Solving: Proactive in identifying issues and developing effective solutions.
• Self-Motivated: Ability to work independently while collaborating within a team environment.

Minimum Requirements

• Experience: 4 years of related experience with a strong background in photoshoots & production management
• Technical: Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and Adobe Creative Suite; WorkFront experience is a plus
• Industry Knowledge: Prior experience in retail marketing is desirable

Physical Demands

This position is primarily sedentary. Requires ability to sit for extended periods; may also stand and walk occasionally. Reaching, grasping, typing, lifting light objects, bending or stooping, and good near vision for computer work.
