Library Administrative Assistant
Provides administrative support to Dean of the Library and Library faculty and staff through record keeping, creating/writing reports, secretarial/reception duties, account management, and back-up library coverage for areas as needed. Responsibilities include: Approve time sheets in NOVAtime or other system(s) to the payroll office on behalf of the Dean and performs related or other timekeeping tasks. Purchases library equipment and supplies as a P-card holder, on the Dean's request, and prepares library purchase orders and requisitions. Manage library contracts in HighQ, and place work orders with facility services or non-university vendors. Work in conjunction with various library class coordinators, registration, and central scheduling to schedule classes maintaining faculty workload and course assignments. Coordinate onboarding process for new faculty and staff. Collaborate with other library employees to organize library events. Acts as a web content editor to update library pages, including hours, staff changes, or other content as assigned by the Dean. Provide administrative support for Library faculty and staff, such as creating and distributing reference schedule each semester. Act as initial receiver and recordkeeper of book donations, non-monetary, and monetary gifts for Library. Submit and track records for facility and equipment maintenance, inventory equipment and supplies. Submit all Library service/maintenance agreements or renewals to University's Office of General Counsel for review and ensure timely submission and maintenance of Library agreements and contracts. Coordinate travel arrangements for the Dean and assist other library faculty or staff in the travel requisition process as needed. Handle college internal billings, copier billings, cash handling, check requests, direct deposit forms, etc. Maintain proficiency in use of university systems: EMS, Banner, ARGOS, etc. Be proficient with Microsoft office. Serve on university and library committees as assigned. Performs other administrative duties assigned at the university level, such as creating faculty cases in Interfolio or other projects. Qualifications include: Graduation from an accredited institution with a bachelor's degree (preferred) and one year of experience related to the summary of duties OR an associate's degree with three years of experience relating to the summary of duties OR a combination of post-secondary education and experience totaling five years required. Experience working in a Library and/or experience working in Higher Education preferred. Excellent computer skills and ability to be trained in specific Library and University computer programs. Excellent interpersonal skills and the ability to exercise tact in difficult interpersonal situations. Strong commitment to confidentiality. Ability and desire to work collaboratively as a member of a team. Must be well organized, attentive to detail, and enjoy (with demonstrated skill) the administrative challenges of working on a variety of projects simultaneously with different deadlines. Must possess basic accounting skills with demonstrated experience in record keeping. Ability to communicate effectively, both orally and in writing. Strong commitment to service and supporting students, faculty, and staff. Must have flexibility that allows for adaptation to new processes or situations. Position details, compensation, and benefits include: Full-time non-exempt staff (overtime-eligible) position. Annual salary of $45,500, with a desired start date of November 2025.
