Position Description
The event planner is responsible for the execution of Dentsply Sirona Charlotte Academy events and programs. The successful candidate must be a team player working collaboratively with cross-functional teams. The ideal candidate is passionate, creative, detail-oriented, and dedicated to providing superb customer service at every turn. This person must have excellent project management skills and an acute attention to detail.
Responsibilities
Plan, coordinate, and execute training and customer events from start to finish according to requirements, target audience, and objectives.
Liaise with internal stakeholders and external clients to identify their needs and ensure customer satisfaction.
Understand stakeholder needs, goals and event vision to help guide, recommend and develop comprehensive event planning timeline.
Develop event budgets and ensure adherence. Continuously manage, forecast and review budgets.
Source and negotiate with vendors and suppliers.
Coordinate all logistics including venue, catering, audiovisual, speaker management, entertainment, transportation, and guest accommodations.
Create event collateral and materials including invitations, agendas, name badges, tent cards, signage, etc.
Build and manage event registration through Cvent.
Manage attendee experience by creating detailed guest communications before, during, and after events.
Create contingency plans in collaboration with internal departments and partner. Conduct risk assessments and establish emergency protocols.
Track event attendance, engagement, and ROI metrics.
Conduct post-event evaluations, report on outcomes and recommend improvements.
Provide and troubleshoot onsite tech support.
Develop and continually refine processes and protocols to deliver a best-in-class customer experience.
Maintain a professional-level meetings commitment, including a flexible schedule that includes being onsite evenings, weekends, and holiday hours, as needed, to support events.
Education
Bachelor's degree from an accredited college or university.
Years & Type of Experience
4+ years of meeting planning or corporate event planning experience.
Key Required Skills & Capabilities
Highly organized and detail oriented.
Excellent communication skills.
Ability to work independently and manage multiple projects simultaneously, proactively, under pressure and collaboratively with team members at all levels of the organization. Strong problem-solving and crisis management skills.
Budget reconciliation and financial tracking experience.
Ability to apply principles of logical thinking to a wide range of intellectual and practical problems.
Proficient with Microsoft Office and Cvent.
Knowledge and experience in the dental industry is a plus but not a requirement.
Minimal travel, >10%.
This role is based in Charlotte, North Carolina at the Dentsply Sirona Academy. It is a hybrid position with a minimum of three days per week in the office, with consideration to the event calendar.
