Overview
We are seeking a highly organized and proactive Senior Account Manager to serve as a key client partner, optimizing project intake, execution, and overall workflow efficiency. This role will ensure projects are set up for success from inception, foster strong client relationships, support effective communication, and drive continuous improvement in operational processes. You will be the crucial link ensuring clarity and readiness before projects move into full production, while contributing to client satisfaction and account growth.
What you’ll do (Key responsibilities)
- Project Scoping & Strategy: Provide expert advice on project scoping, briefing best practices, and communication strategies to ensure projects are meticulously planned and set up for success from the outset. Act as a strategic partner to clients, guiding them through the project lifecycle and ensuring their objectives are met.
- Requirements Assessment & Scope Management: Collaborate with internal and external counterparts to assess project requirements, identify opportunities for scope expansion, and ensure comprehensive understanding across stakeholders. Proactively manage client expectations regarding scope, deliverables, and timelines.
- Process Optimization & Tool Utilization: Support and educate teams on effective use of project management tools to streamline intake, emphasize complete briefs, and facilitate robust progress tracking.
- Client & Partner Enablement: Empower partners to manage client expectations by guiding them on pushing back when briefs are inadequate or timelines are unrealistic. Serve as a primary point of contact for assigned client projects, building trust and ensuring a positive client experience.
- Risk Management & Problem Solving: Proactively anticipate roadblocks and collaborate to develop timely solutions, preventing delays and ensuring smooth execution. Communicate risks and solutions clearly to clients.
- Issue Resolution & Escalation: Serve as a primary escalation point for project-related issues, supporting business partners to resolve them and manage client communications during resolution.
- Process Improvement & Standardization: Contribute to initiatives aimed at streamlining processes to enhance efficiency and consistency.
- Project Intake & Brief Assessment: Assist with assessing project briefs and managing the intake process, working with clients to articulate needs into actionable briefs and ensuring information is captured for successful execution.
- Client Relationship Management: Cultivate strong client relationships, acting as a trusted advisor and primary contact for project inquiries and updates. Translate client objectives into actionable project plans.
- Strategic Client Partnership: Collaborate with the Account Lead to identify client needs, propose solutions, and contribute to strategic account planning for long-term success and growth.
- Communication & Reporting: Maintain transparent communication with clients regarding status, milestones, challenges, and successes. Prepare and present regular project updates and performance reports.
- Financial Acumen & Project Profitability: Monitor budgets and timelines, ensuring efficient and profitable delivery. Identify opportunities for cost savings or value-added services for clients.

What You'll Need (Qualifications)
- 5+ years of experience in project coordination, project management, or operations support with significant client-facing responsibilities within an advertising agency, marketing services firm, or in-house creative/production team.
- Direct experience supporting projects within the Health/Pharmaceutical industry is highly preferred, with an understanding of MLR review processes and content compliance.
- Proven experience with project intake processes, brief assessment, and scope definition.
- Proficiency with project management and workflow tools (e.g., Jira, Asana, Workfront or similar).
- Strong understanding of the project lifecycle in a creative or production environment.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
- Demonstrated ability to influence and educate internal teams on best practices.
- Strong verbal and written communication skills.
- Proven ability to build and maintain strong client relationships and manage expectations.
- Proficiency in MS Office products.
- Bachelor's degree in Marketing, Communications, Business Administration, or related field preferred.
