San Antonio Startup Week 2025

2. Scope of Work

We’re seeking a highly capable social media partner to execute our playbook for SASW 2025 across multiple platforms. This partner should be operationally strong, creative, and fluent in fast-moving community engagement.

• Social Care & Triage: Monitor and respond to questions, comments, and emerging issues in real time across Instagram, Facebook, LinkedIn, and Whova based on provide FAQ sheet and program schedule.
• Story Posting: Execute hourly (or more frequent) Stories using pre-provided assets and sourced UGC.Daily
• Wrap-Ups: Provide end-of-day summary reports with metrics, top questions, issues flagged, and social listening highlights.
• Photo Drops & Content Posting: Post branded daily highlights using provided photography.Pitch-to-Win
• Recap Video: Edit and deliver a short stitched-together video from provided assets of our “Pitch to Win” competition.
• Speaker Graphics: Use provided Canva templates to generate individual social graphics for ~300 speakers. SASW team will provide copy, template, and assets.
• UGC Sourcing & Rights Management: Monitor social activity for high-quality UGC (e.g., images, videos). Reach out via DM to request permission and download assets for use on official channels.
• Final Report: Deliver a comprehensive analytics and learnings summary post-event.

Service Period: Execution: October 1 - October 25, 2025

Team Interaction:

• Operates independently but closely aligned with our internal Marketing Director, Digital Lead, and Conference Director
• Executes against an established social playbook
• Content will be provided daily via [Dropbox/Drive/Slack — TBD]Additional

Notes:

• Vendor may operate remotely but should be local or in San Antonio during event week for responsiveness
• We’ll provide all raw assets. Vendor will not need to capture live content but should spot and secure UGC rights as needed
• Vendor must disclose social tools used, social listening methods, and whether offshore/nearshore talent is used

Budget Range: $6,500–$10,000
