About the Role
As a Touring Coordinator, you will provide essential support across all aspects of our artists’ touring operations. Working closely with the Director of Touring and management team, you\'ll assist in facilitating communication with agents, business management, touring personnel, and creative teams, while maintaining efficient workflows and ensuring tours run smoothly from planning through completion. This role is ideal for someone organized, detail-oriented, and passionate about live music and supporting artists and their teams.
Responsibilities
- Maintain touring calendars and workbooks with artist availability, confirmed and potential dates, and communicate schedule updates to the artists, band, and crew.
- Assist with hiring and onboarding process for band and crew, including drafting, distributing, and organizing offers, contracts, personnel agreements, and confidentiality forms
- Maintaining band and crew rosters for each show and tour, and supporting coordination with business management on payroll processing and payment tracking.
- Working with tour managers to coordinate and book travel arrangements for touring parties
- Ticketing and guest list coordination for shows and tours
- Prepare summaries, reports, and insights to the team to help inform strategic touring decisions
- Assist in creating and reconciling tour and promo budgets
- Support contract and deal memo reviews, nightly show settlements, and expense tracking
- Maintain organized tour documentation, including riders, schedules, communications, and other essential operational details
- Assist with research, logistical assessments, and planning for domestic and international shows and tours
- Work alongside the team to facilitate international visa and work permit applications, ensuring all necessary documents are collected and submitted.
- Support the tracking and coordination of timelines and deliverables for production design elements to ensure timely execution
- Coordinate communications between artist and management team, creative directors, designers, vendors, and the various production teams to support seamless collaboration
- Organize creative documentation including stage renderings, plots and design files
- Track communications and assist in gathering quotes, confirmations, and payments from various tour related vendors.
- Occasional travel to cover shows may be required
Requirements
- Experience in tour coordination, artist management, or a related entertainment industry role
- Familiarity with touring logistics, production processes, and contract management
- Proficiency with calendar management, spreadsheets, and communication tools.
- Exceptional attention to detail and organizational skills
- Ability to manage multiple priorities and deadlines in a fast paced work environment.
- Excellent verbal and written communication skills
- Self-starting attitude and work ethic that facilitates fresh ideas and collaboration
- A proactive and intuitive nature with the ability to anticipate needs
- Critical thinking skills: ability to overcome challenges through effective problem solving
