Job Description

Graphic / Web Assistant 2 – Yale Printing & Publishing Services (YPPS) responsibilities fall under RIS Administration 83142BR. The role requires a highly skilled and detail-oriented graphic designer with expertise in pre-press processes as well as print and digital design. This position emphasizes delivering exceptional design in a fast-paced environment, ensuring top-quality standards for every project, and translating client requirements into effective visual design for higher education. Proficiency in Adobe Creative Suite and Microsoft products is essential, with responsibilities including pre-press tasks, data merges, file preparation, image retouching, color correction, and imposition to achieve accurate print production. Strong organizational and time-management skills are required to multitask between clients, meet deadlines, and collaborate with cross-functional teams within Yale University.

Essential Duties

  • Provide alternate designs to clients and guidance on production techniques, paper and ink colors, project specifications, graphic content, and media requirements.
  • Design, edit, proofread, prepare layouts, and format printed materials (publications, brochures, flyers, newsletters, banners, display panels, charts) and make stylistic, factual, and grammatical corrections.
  • Order licensed materials. Maintain and update a website using an editor or HTML; assist in website design, editing, and content development; identify, evaluate, and solve website problems.
  • Test and evaluate web pages for accuracy and functionality; update links; research, evaluate, and select internal/external printers; develop cost estimates, printing specifications, and schedules; carry projects to completion.
  • Coordinate price quotes, proof viewing, and production schedules; ensure deadlines are met and outputs comply with job requests.
  • Develop internal departmental procedures and standards to align with University website and desktop publishing guidelines.
  • Write copy and captions for departments, schools, and university publications and websites; investigate, test, evaluate, and recommend technological upgrades, software and equipment.
  • Scan materials; maintain image quality; color-correct and density-correct digital scans; use software to enhance, resize, or retouch digital files for publication; establish and maintain paper and database files of past materials and contacts.
  • Perform related administrative duties such as training, supervising support staff, coordinating unit publications, billing/accounting functions, and creating pricing lists.

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Required Skill/Ability

  • 1. Demonstrated history of reliable work attendance, and the ability to multi-task in a fast-paced environment under pressure of deadlines.
  • 2. Ability to understand complex written and verbal instructions, completing work as instructed on a job ticket.
  • 3. Creative mindset and a keen eye for aesthetics. Ability to conceptualize and develop visually appealing designs that effectively communicate client messages.
  • 4. Strong communication skills to understand internal and external client requirements, convey ideas effectively, and work harmoniously with others in the design process.
  • 5. A solid understanding of digital and print design and their production processes, including knowledge of print specifications, color modes, paper types, file formats, and the ability to prepare print-ready files using Adobe Creative Suite.

Preferred Education, Experience and Skills

Bachelor degree in a related field, Associate degree with four years of related work experience, or six years of related work experience.
