This is a hybrid role working on average 2 days per week in an office in Orlando. PRA is a market-leading business event management firm that crafts creative, multi-sensory attendee journeys to move hearts, minds and businesses forward.

Primary Responsibilities

  • Responsible for the logistical management and operational execution of client events and programs, including complex programs for high profile accounts with budgets ranging from $500K-$1M+
  • Serve as the primary client contact during pre-planning and operation to exceed client expectations and promote satisfaction and account retention
  • Meet with Sales to discuss client program details and serve as primary client contact after contract
  • Manage program changes during pre-planning and on-site, negotiating and up-selling
  • Responsible for managing the gross margin for the event once contracted
  • Order, confirm and reconfirm all suppliers; develop relationships; negotiate terms and pricing, including service levels, guarantees, cancellation, billing, directions, etc.
  • Ensure deposits are received and billing is completed
  • Determine Field Staff assignments based on program schedule and staffing needs
  • Prepare and distribute trip sheets and relevant program information for Field Staff
  • Participate in recruiting and training Field Staff
  • Coordinate Field Staff paperwork including timesheets, expense reports, and pay rate changes
  • Maintain inventory of field staff uniforms and materials; coordinate purchases as required
  • Complete program production paperwork (trip sheets, check requests, service agreements, invoicing, job costing, expense reports, etc.)
  • Assist Experience Designers with program development per client specifications
  • Manage cost preparation, program summaries, deposit invoices, service agreements, and related correspondence
  • Forward necessary program information to hotel and venue representatives to ensure coordination with venue operations
  • Conduct pre-con meetings with client/hotel to review program details
  • Keep Regional and Global Sales Managers informed of opportunities and program changes; take corrective action to ensure delivery of client objectives
  • Model teamwork and collaboration, aiming for professionalism and operational excellence
  • Develop and implement new processes or improvements to enhance program operations
  • Facilitate training and professional development for Event Producers in collaboration with leadership
  • Lead department meetings and assign programs in the absence of leadership

Qualifications

  • 4 years of experience overseeing corporate meetings, client events, and other complex programs; DMC, corporate incentive travel, hospitality or related experience preferred
  • Proven ability to lead operations, supervise, develop, and mentor Field Staff
  • Excellent interpersonal and communication skills with diverse clients, partners, coworkers and employees
  • Experience analyzing contracts, financial reports, and complex documents to mitigate risk and ensure profitability
  • Skilled at presenting information and responding to questions from clients, partners and hoteliers
  • Ability to multitask and manage multiple programs with different deadlines
  • Ability to work with all levels of management, hoteliers, venue staff, clients and partners
  • Deep knowledge of local attractions, hotels, venues and supplier partners; ability to locate and vet new venues
  • Flexible hours including weekends, evenings and holidays
