Job Overview
This role serves as a key focal point across External Relations, particularly between the Content & Creative Studio, Marketing & Mobilization, and Fundraising teams. It combines operations and hands-on project management to drive high-visibility campaigns and projects, optimize workstreams, and enable critical fundraising efforts. The role requires collaboration across day-to-day requests, large-scale events, and cross-functional teams.
The role is the go-to knowledge source for projects and campaigns, responsible for building and maintaining processes, workflow, timelines, invoices, and budgets, while managing multiple stakeholders. The role requires a hands-on, highly organized person who is willing to roll up their sleeves and believes no task is too small.
You will ensure the team has the tools, processes, and support to work efficiently and flexibly, seek ways to improve workstreams and strategy execution, oversee department resources like budget and capacity, and promote strong operations across the department. The ideal candidate will implement simple, scalable solutions to complex challenges, possess strong project management skills, and have experience driving campaigns across multiple teams, including at leadership and C-suite levels.
Position within the Department

Major Responsibilities

Strategic Planning & Operations
- Streamline department processes to boost efficiency and productivity; implement new processes with change management.
- Collaborate with creative, fundraising, and communications leads to identify needs and implement solutions to prioritize resources and workflows.
- Promote consistent processes across the division to enhance transparency, communication, and compliance.
- Manage contracts, invoicing, and expenses for the Content & Creative team.
- Promote a positive, collaborative, and efficient working environment.

Campaign & Project Management
- Lead stakeholder teams of 5-10 on high-visibility campaigns; oversee approach, assign responsibilities, review work, and guide strategy.
- Plan and deliver large, complex projects with minimal supervision; scope projects, drive quality solutions, resolve roadblocks, manage timelines and project boards.

Creative Delivery Coordination & Management
- Manage creative development and approval through the Creative Studio from intake to on-time, on-budget delivery aligned with goals.
- Ensure requests follow the creative workflow and project management tools; identify opportunities for efficiency.
- Proactively manage dependencies, issues, gaps, and resource distribution.

Process Optimization & Resource Management
- With the Director of Internal Communications and Campaigns, establish the role of a PM on campaigns and build efficient processes to align with stakeholder needs.
- Maintain team resources including folders, resource pages, and PM tool automations.
- Produce and maintain project implementation plans, budgets, vendor contracting and onboarding, status reports, and related PM documentation.
Job Requirements
Work Experience:
- 5-7 years in project management, campaign-focused, strategy, or business transformation roles with progressive responsibilities and a track record of high performance.
- Experience with day-to-day workflow management and implementing strategic changes to address issues or bottlenecks.
- Experience in running large-scale, cross-functional projects.
- Strong organizational and time-management skills; ability to prioritize multiple demands and deliver quickly.
- Strong analytical skills; structured approach; ability to solve complex problems creatively.
- Excellent verbal and written communication; ability to distill information into clear recommendations.
- Strong meeting facilitation and presentation skills; ability to work with collaborators at all levels, including senior leadership.
- Highly collaborative and capable of working independently in a global cross-functional team.
- Experience leading project teams and coaching junior members.
- Ability to respond positively to ambiguity and shifting priorities; resilient.
- Proficiency in Microsoft Office; PM tools experience preferred.
Preferred Experience:
- Experience in humanitarian or development organizations or nonprofit sector.
- Working knowledge of project management tools such as Monday.com.
- Knowledge of fundraising, communications, and/or advocacy in humanitarian contexts.
Working Environment
This role requires remote, full-time work. Applicants must have a home or alternate workspace that supports regular hours.
Compensation
Pay Range: $82,000 - $93,600. Posted pay ranges apply to US-based candidates. Ranges depend on factors including labor market, job type, internal equity, and budget; offers reflect location, experience, and skills.
