This role requires strong financial awareness to the community’s needs and budget requirements. A collections mindset is a must, along with providing customer service while ensuring financial goals are met within budgeted needs. Thorough understanding of the eviction process from start to finish and handling the residents account and apartment status throughout the entire process.

Position Summary

The Assistant Property Manager is responsible for supporting the daily operations of the apartment community, with a strong focus on rent collections, delinquency control, and legal eviction processes. This role requires an assertive, detail-oriented professional who can balance resident relations with firm enforcement of lease agreements. The Assistant Manager plays a critical role in ensuring financial success and compliance for the property.

Key Responsibilities

  • Rent Collection & Delinquency Control (Primary Focus)
    • Actively monitor and track rent payments daily to ensure timely collection from all residents.
    • Execute an aggressive collections strategy, including phone calls, emails, text messaging, written notices, and in-person door knocks when necessary.
    • Develop and implement payment plans for delinquent residents, ensuring strict adherence and follow-up.
    • Post late fees, legal fees, and other charges promptly in accordance with the lease agreement and company policy.
    • Prepare detailed delinquency reports for the Property Manager and Regional Manager.
  • Eviction & Court Process
    • Prepare and serve legal notices (3-day notices, eviction filings, etc.) in compliance with Texas Property Code and Court Entity Requirements.
    • Coordinate with attorneys (if used) and courts to ensure eviction cases are filed promptly and pursued aggressively.
    • Attend eviction hearings and represent the property in court as needed.
    • Follow through on writs of possession and coordinate lockouts with maintenance and law enforcement when required.
    • Maintain accurate, organized documentation of all legal proceedings and resident communications.
  • Financial & Administrative Support
    • Assist the Property Manager with daily financial operations, including rent posting, deposits, and reconciliation.
    • Review accounts receivable and take proactive action to minimize bad debt.
    • Process move-in/move-out paperwork, security deposit dispositions, and lease renewals.
    • Ensure compliance with Fair Housing, local, state, and federal regulations.
  • Resident Relations & Customer Service
    • Professionally communicate lease policies and enforce community rules.
    • Address resident complaints or concerns promptly while maintaining a firm but fair approach.
    • Work to resolve delinquency issues before escalation to eviction whenever possible.
    • Assist in resident retention strategies to minimize turnover while protecting financial performance.
  • Leasing & Marketing Support
    • Assist leasing staff with tours, lease signings, and renewals when needed.
    • Ensure vacant units are market-ready and priced appropriately.
    • Contribute to occupancy and revenue goals through proactive leasing efforts.
  • Operational Support
    • Support the Property Manager in overseeing daily operations of the community.
    • Assist in training and supervising office staff as needed.
    • Maintain accurate records in property management software (Yardi, RealPage, or equivalent).
    • Prepare reports and updates for ownership or regional leadership.

Qualifications

  • High school diploma or equivalent required; college degree preferred.
  • 2+ years of property management experience (assistant manager or similar role).
  • Strong knowledge of Texas Property Code and eviction court procedures.
  • Proven success in aggressive rent collection strategies and delinquency control.
  • Excellent organizational, communication, and negotiation skills.
  • Ability to remain professional yet firm in difficult resident situations.
  • Proficiency in property management software (e.g., Yardi, RealPage, OneSite).
  • Strong problem-solving abilities and attention to detail.
  • Willingness to work flexible hours, including court appearances and urgent collection activities.
  • Valid driver’s license and reliable transportation.
