ASSISTANT COMMUNITY MANAGER

The Assistant Community Manager is responsible for overseeing, under the supervision of the Community Manager, the everyday operations and financial functions of the housing community. As the Assistant Community Manager, you will play a vital role in the delinquency and collection of rent to optimize the property\'s cash flow and financial position. You will manage all phases of the operations, including personnel, leasing, maintenance, financial, administration & risk management in the absence of the Community Manager. As an onsite leader, you will supervise all aspects of the property and staff to ensure compliance with the company\'s policies and procedures, safety and fair housing guidelines, and liability concerns.

Essential Duties & Responsibilities

Financial Management

  • Posting all payments and income received from all applicants, current residents, and non-current residents accurately and timely.
  • Processing and reconciling daily all accounts receivable.
  • Monitor and follow up on bad debt including late notices, resident and guarantor contact, and filing evictions.
  • Assist the property in meeting budgeted revenues, expenses, and Net Operating Income.
  • Posting of all charges to resident and non-current resident accounts, including bill back of utilities where applicable.
  • End-of-month closing procedures and reporting.
  • Maintain accurate records; audit resident files for accuracy.
  • Walk units and post move-out charges, statements, and security deposit refunds.

Personnel Management

  • Regular/daily onsite attendance is required.
  • Screen, hire, train, coach, and develop onsite staff in line with company directives.
  • Ensure staff effectiveness through ongoing training, coaching, and guidance in compliance with Asset training benchmarks.
  • Promote harmony and quality job performance of staff through support and effective leadership.
  • Ensure staff compliance with company policies and procedures.
  • Strategic Leasing Management: lease signing, follow-up procedures, and reporting systems are current.
  • Implement marketing strategies and systems from the annual marketing plan.
  • Address resident complaints, concerns, and requests to ensure resident satisfaction.
  • Develop and implement resident retention programs (e.g., events, promotions, monthly newsletter).
  • Show, lease, and move in prospective residents.

Administrative Management

  • Provide excellent customer service and monitor service request turnaround and maintenance responsiveness.
  • Maintain property appearance and ensure timely repairs through regular inspections and tours.
  • Assist with supervision of all business functions related to operations.
  • Manage resources, equipment, and supplies: obtain bids/pricing, engage vendors/contractors, and address service issues.

Education/experience

  • High School Diploma or Equivalent; Bachelor’s degree preferred, or two years in the housing industry; or one to two years related experience and/or training; or equivalent combination of education and experience.
  • Ability to understand and perform onsite software functions; basic computer skills required.
  • Basic knowledge of Fair Housing Laws and OSHA requirements.

Physical Requirements

  • Regularly required to be stationary for extended periods; may include standing or sitting, communication with others, and repetitive motions.
  • Frequent movement around the property; occasional climbing, stairs, ladders, and navigating various environments; ability to lift/move up to 25 lbs; may require overtime, weekends, and night hours for emergencies.
