About the Role

The Group Travel Logistics Coordinator/Event Planner is a key back-office position responsible for booking, coordinating, and managing the contractual obligations, deadlines, and deliverables of service providers for each tour, including restaurants, hotels, attractions, bus companies, airlines, and other vendors. Under the direction of the Tour Planner/Operations Manager, this role manages vendor accounts payable and receivable, creates and refines bus tour itineraries, coordinates logistics, and maps routes with precise timing to ensure smooth and efficient tour execution.

Responsibilities

  • Coordinate all vendor services for tours and events, ensuring all tasks, deadlines, and deliverables are met in accordance with contracts and company policies and procedures
  • Manage vendor accounts payable and receivable, reconciling transactions accurately and on time
  • Create and adjust group tour itineraries, routes, logistics, and timing to maximize efficiency
  • Assist in all aspects of tour development, including destination research, logistics planning, record keeping, and verification of tour documents
  • Reconfirm hotels, restaurants, attractions, transportation providers, and other vendor services prior to each departure
  • Review tour manager reports and customer surveys to identify issues and implement improvements
  • Maintain up-to-date tour resource files with maps, narration, passenger handouts, and other tour-related materials
  • Conduct vendor site inspections when necessary
  • Accompany tours periodically to evaluate operations and ensure quality standards are met
  • Support implementation of new procedures, forms, and systems to improve workflow in the Tour Planning and Operations Departments
  • Maintain strong communication and coordination between Operations, Planning, and Reservations teams
  • Ensure motor coach and tour manager supplies are prepared for each departure
  • Maintain a neat and organized workstation
  • Answer incoming calls and take customer reservations with accuracy and professionalism
  • Perform other duties as assigned

Required Skills

  • Proficiency with PC computers and Microsoft Office Suite
  • Ability to quickly learn and adapt to new and emerging technologies
  • Competence in using and adapting to AI tools for workflow efficiency
  • Accurate data entry and financial reconciliation skills
  • Keyboarding speed of 50+ words per minute with high accuracy

Preferred Skills

  • Experience in the tour and travel industry, meeting planning, or event planning is strongly preferred.
