The Prince George's County Office of Central Services is currently seeking qualified applicants to fill an Administrative Aide to the Communications Manager (Administrative Aide 2G), grade G 15, in the AV Unit for CEX. This position is responsible for diverse administrative and clerical assignments primarily for the Communications Manager, Communications Team, assisting with incoming and outgoing correspondence, special projects, media preparation and archival of records. Provides administrative and clerical assistance of Office of Chief of Staff as assigned. The Office of Central Services is a multifaceted agency of the Prince George's County Government providing government-wide, mission critical support services in the areas of facilities operations and management, building design & construction, real estate services, fleet management, and general services. We make government operations operate better for the government. Coordinates special assignments and projects to relieve the Director and Deputy Director of Communications of administrative details. Monitors requests for information from departments/agencies to keep the Director and Deputy Director of Communications informed. Maintains working knowledge of all special projects/events being handled by the Director and Deputy Director of Communications. Attends meetings/events/press conferences with Director and Deputy of Communications, as requested, and takes and prepares minutes as needed. Drafts and prepares memoranda and letters for signature by principals including the County Executive and other members of the leadership team. Finalizes documents for distribution within the County Executive's Office, other County agencies, and/or organizations outside of the County. Reviews correspondence prepared by other departments/agencies and/or other office staff prior to forwarding to Executive leadership team. Create and update web and video content for the County Executive Communications website. Answers and screens incoming telephone calls and greets visitors, providing answers to questions/ inquiries or referring to appropriate agency or staff person, when appropriate. Serves as back-up to other administrative support staff as needed by answering telephone calls promptly and greeting visitors, as requested. Establishes and maintains subject, project and confidential files for the Director using an established filing system. Handles mail flow for Director of Communications, placing it in proper order of importance for immediate review. Must have satisfactorily completed probationary period as Administrative Aide I. High school diploma or G.E.D. certificate which included business courses. One (1) year of secretarial training above the high school level. One (1) year of secretarial or technical clerical experience which involved working with the public. Any equivalent combination of relevant training, education and experience may also be accepted. Preferred Qualifications: At least three (3) years of increasingly responsible experience providing direct support to sectional or divisional director in a public or private organization. At least three (3) years of serving in a role that required coordination and communication with multiple divisions. Advanced experience with Microsoft 365 Office applications, including proven strength in the use of spreadsheets, database and presentation applications, including Microsoft Excel and PowerPoint. Experience with community engagement and/or executive stakeholder management. Each application must include information that clearly demonstrates the above qualifications for this position. Meet all training and performance standards and demonstrate proficiency as required by the agency. Wear and use agency protective apparel and equipment in the performance of their assigned duties. Essential employees are expected to report during standard or non-standard hours as operations necessitate, or during emergencies.
